Job Description

This role is being advertised by Savills Management Resources (SMR) a wholly owned entity of Savills (UK) Limited but a separate employing entity which is not accredited by Real Living Wage Foundation.Purpose of the RoleThe Facilities Manager is to ensure the overall smooth running of the centre, including the recruitment and training of all operational staff whilst maintaining a safe and pleasant environment for our customers through the monitoring of Health & Safety systemsand the promotion of best practice throughout all tasks.Savills have been appointed to manage The Queensgate Shopping Centre from 1st September 2022. The current Operations Manager has retired hence the vacancy.Key Responsibilities To provide operational and technical expertise and inspirational leadership for all Centre based operational and technical requirements. Reporting to the Centre Manager will deliver key strategic objectives to ensure that the Centre remains at peak operational and technical performance across all soft and hard services. To act as a Duty Manager for site and where necessary cover out of hours and weekend work to cover the duty management required at site To act as Line Manager to Soft Services Managers (Cleaning & Security) and Environmental Manager Supervise all external contractors in association with Savills approved suppliers list and adhoc contractors that assist with the smooth running of Queensgate. Due to the changing nature of the scheme with the leisure extension due to open in Autumn2022, this will include a focus on night time economy. Be responsible for overseeing and monitoring external contract KPI performance and escalate where necessary working in line with Savills procurement team Ensure that health & safety compliance i.e. Q-Ccompliance data station, is up to date and where applicable, all actions are completed. Ensure all faults, maintenance issues are recorded in a timely manner via E-Log Books and followed up until completion. Collate and check all routine invoices and approve within agreed limits. Issue purchase orders for non-routine expenditure. Liaise with tenants to ensure compliance with Tenants Handbook in particular with regards to shop fascia lighting, shop front cleanliness, refuse management, key holders. Check tenants units on a regular basis having regard for state of repair and fire safety. Supervise service contracts and maintaining up-to-date records of all work carried out by outside contractors. To ensure that the Operations Report is accurate up to date at all times. Ensure compliance at all times with operational standards. Attend all management meetings and other meetings as requested by Head Office.Safety & Security Ensure that the day-to-day running of the centre is carried out effectively and efficiently, that the personnel working for the centre are discharging their duties and provide assistance where necessary. Ensure that all personnel complete duties to the highest standard and are well presented. Keep service areas in a clean, tidy and secure condition and control vehicular traffic in these areas. Ensure all accidents and near misses are recorded and serious incidents that occur. Attend all serious incidents within the centre. Control and re-order first aid kit supplies ensuring that there are sufficient staff on site to administer first aid, as and when needed. Ensure that fire and health and safety regulations are adhered to in all parts of the Centre by inspection, checking the signs, advising on defects, improvements required, etc. Monitor and maintain Health and Safety Records in accordance with the frequency required by the site Health and Safety manual. Walk the public areas on a regular basis throughout the day checking on cleanliness, maintenance, landscaping etc. Ensure compliance with all statutory requirements and codes of practice, health and safety requirements. Monitor service areas and ensure they remain in a clean, tidy and secure condition and control vehicular traffic in these areas. Maintain overall control of the security operations, paying particular regards to incident response and customer care. Liaise with tenants and the Police in all matters of security affecting the centre, tenants, public safety and security. Ensure that all insurance risk control requirements and, where appropriate, recommendations, are undertaken. Ensure that daily checks are undertaken of the common areas within the centre and that all necessary remedial works are undertaken within a reasonable time period. Where remedial works are required immediately, the area in question must be cordonedoff and made safe for all visitors, tenants, etc. Ensure that all health and safety and insurance details are updated and kept on site in respect of the retained contractors. Ensure that Health and Safety policy is complied with at all times. Control and monitor the keys to the centre.Operations Maintaining the centre to the highest standard at all times.
