Job Description

CEOs Office Business Partner (Executive Assistant)c.£45,000 per annum Bedford based with frequent travel to London office. Hybrid Working Permanent"A unique and challenging opportunity to work at the heart of Money and Pensions Service (MaPS), the CEOs Business Partner will be a genuine self-starter who is confident in their ability to exercise sound judgement, comfortable engaging peopleat all levels and enjoys working within a small and busy team. As a CEO Business Partner, you will provide central support assisting the day-to-day activities within the CEOs office, becoming the key liaison between the CEOs Office and the Governance Team, with a focus on supporting the Chair of the Boardand non-executive directors (NEDs). A role that is people centred and possess development and mentoring opportunities which is fully supported by the Chief of Staff. Although Bedford based, frequent travel to MaPS London office (expensed) is required for thisrole "The CEOs Business Partner will be directly reporting to the Chief of Staff (COS) dealing with highly sensitive situations, in this role you will be responsible for the following;

  • Managing the scheduling of the Boards diary: liaising with all Board members, including NEDs to ensure regular meetings (e.g. Board and Committee meetings) and ad hoc meetings are organised and confirmed.
  • the Chairs diary and inbox, including: responding as appropriate on the Chairs behalf; flagging urgent or important issues to the COS/Chair; and, commissioning information requests, prioritising actions and delegating as appropriate so that only essentialinformation/requests remains for the attention of the COS/Chair.
  • Liaising with the Chairs private PA/EA on diary and inbox commitments and requests from both the CEOs Office and Governance Team.
  • Drafting correspondence on behalf of the Chair when requested and ensuring correspondence is sent within reasonable time frames.
  • Ensuring there is alignment between the CEOs diary (including meeting agendas) and the Chairs dairy, as well as with the wider Board diary.
  • Responsible for administering Board related expenses.
  • Assisting the COS in the day-to-day running of the CEOs office, executing tasks and including identifying and resolving issues / problems which can be managed without her direct and personal involvement.
  • Meeting preparation, support and follow up: working with the Governance team and Business Manager to review upcoming meetings, ensuring the CEO, Chair and NEDs are properly briefed.
  • Assisting the CEOs Office and Governance Team in ensuring that relevant information is shared between both teams to effectively support the CEO and Chair
  • Covering other roles in the CEOs office and Governance Team, as required.
You will need to demonstrate the following skills and experience;
  • Working in a busy, fluid and sometimes ambiguous work environment.
  • Experience of writing for different purposes and audiences (you will need to be able to deftly express the thoughts of the Chair, COS and Governance Team in correspondence with senior people).
  • Prioritising multiple tasks, set on a daily basis, often to rapidly changing and tight deadlines.
  • Stakeholder engagement - both with high profile/senior external stakeholders and senior internal stakeholders.
  • Undertaking general office tasks, including creating presentation slide decks, taking and producing minutes for meetings, drafting briefing notes.
  • Undertaking administrative duties, including creating processes or systems to support efficient working.
  • Have an advanced level of proficiency in Outlook, Word, Excel and PowerPoint.
