Job Description

Operations Manager(Regulatory &Compliancy)The job holder is responsible for the smooth operational running of the regulatory side of Export/Import Logistic functions and the operational procedures related to compliantly supplying our portfolio of products within our territories of operation.The role includes dealing with changes required to meet new legislation on products and services that impact on ourabilities to service its customers effectively.Specific Tasks & Responsibilities include:

  1. Operations include:
  • Escalated Logistics - providing logistical/admin support to 500+ trade customers in collaboration with customer support and sales admin team. Queries relating to high value WO authorisation, crisis management of escalated complaints to do with product formulation/productrecall/
  • Managing end to end Export/importation procedures due to Brexit 2020 implementation for all POAO and Organics shipments, into both UK HQ and IE warehouses;
    • Raising EHCs/COIs in relation to the 3rd country consignment imported
    • Working with supplier to collate documents needed to ensure POAO/Organic and Plant products are cleared smoothly.
    • Raising CHED-Ps on all UK/EU government notification portals
    • Working in partnership with clearing agents and freight forwarders to submit VAT/Duties/Commodity/Revenue exam calculations
    • Assisting in UK/IE BCP clearance at port
    • Organizing final transportation to intended delivery destination
  1. Regulatory Compliancy + Internal Auditing
  • Owning UK/EU product legislations for cosmetics and food supplements, updating guidelines and customer practices in all countries that the company is exporting to/importing from
  • Maintain the Product Specification database which includes 25 brands => 750+ products for portal submissions, license renewals, NLF enlistings, POS for print, digital sign offs
  • Respond to enquiries regarding NPDs/Range Extensions/new brand launches with regards to risk mitigation, market forecasting and promos planned
  • Formalizing documentation to support trade customers needs regarding product information, sales return complaints and any new legislations that may apply.
  • Providing legal responses for specific argument cases/claims/summons received for and against Kinetic. Disputes ranging from Trading Standards, Brent Council to MHRA.
  • Liaise with Suppliers to manage UK and EU Product Registration requirements and comply with various legislation issues, as and when they arise inc PIFs/CPSR/CPNP.
  • Monitoring external compliance consultancy and setting timelines for final labelling authorization with brand owner and manage in-house printing forecasts/budgeting.
Reporting Lines & Interactions:
  • The Operations Manager will report to the CEO, MD & GM, with respect to various jobs that require a regulatory and compliancy approach.
