Job Description

calfordseaden is a leading multi-disciplinary construction and property consultancy. We provide a definitive range of services to the UK building and construction industry covering chartered building & quantity surveying, project management, architecture& master planning, civil & structural engineering, mechanical & electrical engineering, sustainability and health & safety.Our current London office is located within 10 minutes walk from Orpington statipm - we benefit from the array of local amenities of this location, including great restaurants, bars, cafs and Shops.PositionOur Orpington office is a busy office which acts as a hub for our clients and colleagues across our other regional offices. Our office mainly comprises Engineering, Surveyors and Architects, Finance and HR. This role reports to the facilities manager whois responsible Orpington office and forms part of a wider culture for delivery of our brand and standards across the business.We are offering this as a job share or part time work to cover the hours of 8am - 6pm Monday to Friday, but we are flexible on the split of this. You may be required to attend the London site on occasions. This is a job share opportunity.The PurposeFollowing our return to work after Covid-19 enforced lockdown, were responding to the "new normal" and we have identified the need for a consistent approach to management of our front of house functions. We also acknowledge that out London office requiresa unique approach to its front of house operations due to its central location in London and its use by colleagues and clients from across the business.To support this vision, we have created an "office host" position. This exciting role will include the management of our reception and collaborative working areas where colleagues and clients can convene and share ideas and opportunities.The PersonWe are looking for a dynamic, creative, outgoing, enthusiastic, diligent and organised individual to act as the first point of contact and host for our clients and colleagues when they are working in the London office and to ensure that our facility maintainshigh standards of hospitality and function.This role requires someone who presents themselves well, is articulate, with a friendly disposition and who has previous reception and switchboard experience in a corporate environment. The role extends beyond traditional reception duties, and you will naturallydeliver good customer service in an authentic way and enjoy meeting and greeting clients. You will have a proactive attitude together with excellent communication skills, you will take ownership of the role and take pride in providing seamless, intuitive andprofessional service.Main Responsibilities

  • To promote calfordseaden and its professional image when dealing with clients, visitors and staff either on the telephone or in person
  • Manage the reception and front of house facilities.
  • Manage meeting room bookings, welcoming guests etc.
  • Ensure that the meeting rooms, collaboration suite and circulation areas are maintained to the highest standards to provide a professional environment, receiving full training from our IT team on how our conference and meeting room facilities work and tomaintain these facilities in good working order.
  • Manage tea/coffee/etc supplies for meeting rooms, collaboration area, office areas - purchase new stock as required using petty cash.
  • Undertake office induction training for new starters.
  • Cooperate with facilities management team to coordinate workmen attending offices during working hours.
  • Meet monthly with the responsible Partner to discuss, agree and implement initiatives and strategies.
  • From time to time, we may require that you support our London office team to take calls when there are particular busy periods of staff shortages.
  • Incoming / outgoing post duties.
  • Monitor guest and colleague attendance records.
  • Undertaking the roles of Fire Marshall and Emergency First Aider as part of a wider team.
  • Maintenance of the Reception Handbook.
  • Other duties as reasonably requested from time to time.
  • May on occasion be required to open/close the office.
