Job Description

Job Title and Grade: Secretaries, Receptionists.Location/Trust: Nottingham University Hospitals NHS Trust.Locations: Various locations in the Trust including Nottingham City Campus, Queens Medical Centre.Pay Bands: Band 2-4Shift patterns: Typically full time - Mon - Friday’s 08:00 to 16:00, 08:30 – 16:30, 09:00 – 17:0.Duration: Several weeks to several months. Subject to reviews.Pay Rate per hour: £9.21- 11.20 depending on pay Band. Plus accrued holiday payThe Roles: Would you like to be part of a Trust that value, recognise and celebrate staff members Nottingham University Hospitals NHS trust was Rated ‘Outstanding’ in ‘Well Led’ by the CQC and is home to some of the world’s leading clinicians and expertsAre you a person passionate about health care and want to make a differenceWe have long term placement opportunities available for Secretaries and Receptionists at Nottingham University NHS Trust.Job Summary: Secretaries, ReceptionistsThe post holder will ensure the provision of comprehensive secretarial and administrative support to their Clinicians/Nurse Specialists within their specialities.The post holder will prioritise the demands of a challenging workload on a daily basis and they will be expected to organise the completion of their workload in line with the needs and targets of the Medical Administration Service. They will be required to escalate and discuss any issues or concerns with their respective Senior Medical Secretary/Medical Secretary Lead. Observe, uphold and enforce health & safety regulations.General responsibilities include the following. List not exhaustive.Secretary

  • Accurately, efficiently and comprehensively type/listen to dictated letters from supplied scripts. To type accurately from audio tapes when required in times of system failure
  • Accurately transcribing from Winscribe digital dictation and Winscribe Speech Recognition digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard with specified timescales.
  • Responsible for the production of discharge summaries, clinical papers and material for publication from either audio or copy typing.
  • Arrange and attend meetings.Taking and distributing the minutes.
  • Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines

  • Print clinic lists from Hospitals systems
  • Reduce and cancel clinics, add patients to the partial booking waiting list.
  • Greet patients at reception, check their personal details are correct and amend if necessary. Ensuring patient confidentiality.
  • Deal with telephone queries from patients and General Practitioners wherever necessary ensuring the caller’s needs are clearly established, accurate messages taken and passed on promptly. Callers are passed on to other colleagues when appropriate. To take any follow up action as agreed with a caller and to keep them informed of any outcomes
  • To have the ability to navigate hospital information systems in order to obtain information on outpatient appointments, access and obtain test results.

  • Having worked as a receptionist, audio typist or secretary in NHS / medical environment previously
  • Experience using Trust systems, including Medway, Notis, Winscribe
