Job Description

Outstanding Opportunity for a Personal Assistant/Executive Assistant with my flourishing and well respected East Anglia Client. You will report directly to the Operation Director and be based in Haverhill with some travel to their Norwich HQ.You will have key internal relations with with the Senior Leadership Team (SLT)PURPOSE OF THE ROLE: To support the Directors with the administrative elements of their roles, such as expenses, diary management, travel arrangements and meeting minutes.KNOWLEDGE, SKILLS & EXPERIENCE Organisationunderstands the importance of, and adopts a tool to help manage work loads Experienced in recording meeting minutes A track record of acting with Discretion Communication skillsable to communicate clearly and effectively to people with various levels of knowledge; face to face, over the telephone and in writing. Client FocusReacts positively and effectively to our clients needs, actively seeks feedback from clients in an effort to improve customer service. Demonstrates a good understanding of the individual and Company client base. Team WorkingCo-operates as a willing member of the team, offering assistance and sharing knowledge with own and other teams Problem SolvingUsing information and resources available to make effective day-to-day decisions, showing perseverance with a problem until an appropriate solution is found. Business AwarenessAble to demonstrate an understanding of how your department operates together with the aims and objectives of the Company. Awareness of the Company mission statement, values and strategy ValuesDemonstrates awareness of the Company strategy and values. Ensuring clients are offered a bespoke and tailored service underpinned by independence, trust, customer commitment, professionalism and innovation ComplianceUnderstands and complies with the regulations and requirements set by the regulatory body e.g. FCA. Demonstrates a thorough awareness of current regulatory issues. Able to apply principles of good practice I.T Skills - Detailed understanding of standard software packages.KEY OUTPUTS Diary management for the SLTensuring no diary conflicts and ensuring all meetings requested are made in a timely manner. 121sensuring these are in the diary for SLT direct reports. Arranging travel/accommodation/events for the SLTensuring clear instructions are issued on times etc and any relevant documentation needed. Expenses for the SLTensuring that all expenses and mileage is loaded into Cascade and signed off in the agreed timescales. Sign-off expenses for SLT direct reportschecking as appropriate if required. Authorising holiday for SLT direct reportsensuring that appropriate cover is always in place. Board Pack informationensuring information is collated in a timely manner and issued a week before the meeting. Board Minutestaking of minutes and issuing for sign-off within 2 working days. Operational Meetingstaking of minutes and issuing for sign-off within 2 working days. Adhoc jobs as requested by the Board
