Job Description

HR Administrative AssistantOur prestigious Norwich based client, (part of a cluster of internationally renowned research organisations), are currently recruiting for a HR Administrative Assistant, to join their busy HR department. This role reports to the HR Payroll and Services Manager.This is a part time, indefinite contract, working 28 hours per week, across Monday - Friday.Preferred hours to be discussed upon application/interview stage.As the HR Administrative Assistant, you will be responsible for providing efficient and effective administrative support to the Human Resources department. You will also be responsible for the efficient and effective administrative support to the HR department.This will also include supporting recruitment activities, as well as general administration.Recruitment responsibilities: (extensive list to be provided upon successful application)

  • Arranging interviews
  • Setting up rooms
  • Creating and distributing interview packs
  • Taking eligibility to work documents
  • Drafting terms and conditions
General Administration responsibilities: (extensive list to be provided upon successful application)
  • Meeting and greeting visitors to the department
  • Answering the phones; assisting with queries
  • Creating and maintaining personnel files including scanning, copying, filing and saving documents
  • Taking notes at meetings
  • Monthly reporting duties to ensure GDPR compliance
Essential requirements:
  • 5 GCSEs or equivalent, including Maths and English
  • Awareness of information security procedures, including: confidentiality and data protection / GDPR at all times
  • Ability to write letters
  • Knowledge of scheduling appointments
  • Proven computer skills, significant experience using Word, Excel, Access and Outlook
  • Understanding of HR process
  • Significant and recent experience working in an administrative role
  • Proven experience using HR or Data Management systems
  • Proven customer service experience
  • Ability to work effectively as part of a team, contributing to the overall success of the department
  • Customer focused with the ability to use tact and diplomacy when required
  • Ability to work independently using own initiative
  • Excellent organisational skills with the ability to prioritise
  • Flexible approach to working practises
  • Strong communication skills, both written and verbal, with the ability to communicate effectively at all levels
  • Attention to detail

  • Ability to maintain confidentiality and security of information

  • Willingness to work outside standard working hours when required.
  • Have an awareness of information security procedures and excellent computer skills with significant experience using Word, Excel, Access and Outlook.
As the HR Administrative Assistant, you must have substantial and recent experience working in an administrative role and have proven experience in using HR or Data Management Systems. Previous experience working in an HR or recruitment environment wouldbe beneficial.Ideally applicants will have qualifications (or equivalent) such as:
  • A Levels
  • CIPD Level 3
  • RSA Level 2
