Job Description

REED are delighted to be working with an excellent digital media company in the heart of Norwich who are looking for an Executive Assistant to support their CEO.Job descriptionThe Executive Assistant provides executive, administrative, and development support to the CEO and Senior Leadership Team. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to theCEO. The Executive Assistant serves as a liaison to the CEO.Essential/Primary Responsibilities:Executive Support

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, composing and preparing correspondence, itineraries and agendas and compiling documents formeetings.
  • Communicates with the general staff on the CEOs behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the Senior Leadership Team (SLT) and the Management Team (TMG).
  • Drafts reports, proposals and agreements and prepares and coordinates oral and written communication with clients.
  • SLT Support and Liaison
  • Serves as the CEOs administrative liaison to the SLT activities, which include coordinating monthly meetings.
  • Maintain confidential files and contact information, coordinate meetings, conferences both on and off-site to support the CEOs agenda.
  • Management Liaison
  • Participates as an adjunct member of the SLT including assisting in scheduling, attending meetings. Represents the CEO in designated meetings as required.
  • Assists in coordinating the agenda of Senior Leadership Team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
Secondary Responsibilities:
  • Performs other duties as assigned by the CEO.
Skills & Abilities:
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners and clients.
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint; fund-raising data management systems knowledge helpful.
  • Ability to learn new software such as SalesForce.
  • Ability to conduct research and present data in a well-written manner.
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organisational, and research skills.
  • Ability to work with a broad range of people including Clients, SLT, colleagues of the CEO, staff, and others.
  • Excellent management, time-management, and problem-solving skills.
