Job Description

Job Title: Receptionist/Patient Liaison for Private Cosmetic ClinicAccountable to:Clinic ManagerHours - Monday, Wednesday and Friday 7.5 per day 22.5 hours per weekSalary - Up to £15,000 depending on experienceLocation - North West London Private ClinicType of role - PermanentThe Purpose of the Role:

  • To work towards converting enquiries to the clinic into appointments for both surgical and non-surgical treatments.
  • To ensure that all phone and email enquiries are dealt with in a reasonable time frame.
  • To provide an excellent level of customer service to all patients and visitors attending the clinic.
  • To man the reception meeting and greeting all patients and visitors to the clinic.
  • To assist with managing the entire patient journey for all patients from enquiry through the booking phase and beyond.
  • To develop the non-surgical and surgical business by providing administrative support to the existing administrative team.
  • To ensure that the Patients are given as much information and fully understand each procedure so that they are fully informed if they chose to consent.
  • To assist with providing monthly reports to the Marketing & PR Manager that feed in to the monthly progress reports for the clinic.

  • To work in line with Policies, Procedures and Standards at all times.
  • OverviewGroomingThe personal appearance of the Team gives an immediate impression to Clients and will have an important effect on reputation.Time ManagementPunctuality is key to the success of business and ensuring you arrive in plenty of time to begin and prepare for your day will make for a more organised day for you and your Patients.
  • Please arrive for work 10-15 minutes prior to the start of your working day to prepare to greet your patients
  • Please ensure that the treatment room is set up for the day with the relevant stock, consumables, paperwork etc
  • Please ensure that the room is clean and that all bins are empty
  • Ensure that treatments are completed within the allocated time re-scheduling where necessary managing treatment times for clients effectively and professionally will also have a lasting effect and reflect an organised Clinic, reassuring the Patient.
  • Working RelationshipsIt is important to maintain strong relationships with all Team members and Managers.
  • Take direction from your immediate Line Manager and other Managers within the Business.
  • Establish and maintain good working relationships with all Teams, liaising and taking direction where necessary.
  • Provide support and information to other Team members maintaining team morale and creating a positive and productive work environment.
  • Provide all relevant documentation in a timely fashion, without being asked to supply it.

  • Ensuring that at all times Policies and Procedures are adhered to and that you are working within the limits of your authority and when and how you need to report
  • Patient Confidentiality and Compliance
  • Ensuring that all Clinic / Hospital and CQC regulations are adhered to in relation to Patient confidentiality at all times and in all instances.
  • Patient Care
  • Dealing with all issues that arise and the smooth, swift execution of resolution including speaking with patients when needed and organising bookings Complaints logging Accident and Incident reporting working closely with the Practice Manager and Operations Director.
  • In addition to these duties - any other tasks/ reporting may be required at the request of the Operations Director, the Practice Manager at their discretion.
  • ROLE SPECIFIC TASKSCustomer services and Clinic StandardsTo answer all telephone calls to the general enquiries and bookings line and to respond to emails swiftly and supply as much information as possible to patients.To help convert enquiries into consultations and booked treatments.To book all patients for a consultation (where appropriate for them) for treatment promoting the different services offered.To ensure the reception area is kept tidy and presentable at all times.To greet each Patient in the clinic and accompany them into their treatment.To collate patient records and update PIMS systemTo file patient records and maintain filing system, archiving old records.To take payments.To book follow up appointments for patients.To send reminders for treatments to patents.Assisting with generating leads to fill free space in the nurses and practitioners diaries.If you have worked within Private Healthcare and offered a high class service within a Private Receptionist role to Private patients and you are seeking part time, three days per week and can travel to North West London and have excellent customer service skills then we would like to hear from you.
