Job Description

Fantastic, well established, multi office Solicitors firm are looking for an experienced Office Manager to join their busy firm. As Office Manager you will be working very closely with the Senior Partner of the firm assisting with all aspects of managing their 4 small to medium size offices. Your main base will be at one of their 3 North London based offices but you will also be required to manage another office based in Hertfordshire, a 40 min drive, therefore the successful Office Manager MUST DRIVE WITH OWN CAR, as you will be required to travel between the 4 offices on occasions.Office Manager Duties:

  • Working with and reporting to the Managing Partner on a daily basis to assist with the administration of the firm
  • Dealing with the authorisation of holidays for the staff in accordance with firm’s annual leave policy
  • Arranging temporary cover for fee earners and support staff when on holiday
  • Maintaining sickness and absence records
  • Keeping the website up to date and regular news updates to be posted
  • Daily social media for the firm
  • Liaising with mortgage lender panels and updating staff on emails received from LMS and Lender Exchange and the like and dealing with all administrative matters arising
  • Preparing and submitting Panel applications, CQS application and PII application
  • Land Registry information to be sent to staff and dealing with user administration
  • Ordering stationery and ensuring competitive supplier
  • Ordering toner and ensuring competitive supplier
  • Business development for the firm through social media, direct contact, seminars and networking
  • Arrange staff and client meetings and social events
  • Maintaining good relationships with the staff across all 4 offices
  • Liaising with the external IT manager concerning IT requirements for the firm
  • Dealing with new starters and leavers
  • Maintaining and updating the firm’s Practice Manual
  • Ensuring staff up to date with their training and booking courses
  • Dealing with recruitment requirements across the firm as and when required
  • Maintaining the management of the phones and updating as required
  • Keep the practice running efficiently and cost effectively and use initiative to do so acting only with the authority of the Managing Partner
  • Data Protection licence renewal and all other renewals
  • Providing information to all bodies and institutions as and when required
  • Lexis Nexis updating, monitoring and maintaining and negotiating renewal;
  • Organising general office maintenance;
  • Undertaking office shopping;
  • Ensuring the firm is compliant with all Regulations and Laws and Requirements as they vary from time to time
  • Arranging, Attending and minuting departmental meetings
  • Generally ensuring the smooth running of the practice day to day

  • Excellent key board skills and telephone manner
  • Must Drive with own car
  • Ability to communicate at all levels
  • Attention to detail
  • Knowledge of the Solicitors Accounts Rules and the SRA regulations Preferred
  • Knowledge of Excel and ability to prepare spreadsheets with all formulas Preferred
  • Knowledge of Microsoft and Word Essential
  • The initial hours required will be around 34 hours per week spread over 4 days a week or 5 shorter days, negotiable! However its worth mentioning that the role could become Full-time hours. Normal office hours are 9am to 5:30pm, Monday to Friday!Salary is up to £35k pro rata, negotiable!Start date is ASAP!Permanent!There is free parking at 3 out of 4 of the offices!
