Job Description

Sales Administration Assistant (Chemicals) ABJ5760North East up to c25-28kAre you from a chemistry or engineering sales or administration background and would like to support a sales, business development or commercial operations function for a chemicals companyAs a sales administration assistant you will ensure customer orders are received, processed, dispatched, and invoiced efficiently and effectively. As a sales assistant you will complete related administrative duties whilst meeting company KPIs, and in compliancewith company standards including Zero Harm, ISO 9001 and 14001 certifications, and legal and regulatory requirements.Key Responsibilities

  • General administration, processing, and dispatch of customer sales orders using ERP system
  • Daily accurate and timely entering of customer orders onto the computer.
  • Answer phone calls, process orders and re-direct calls as appropriate
  • Arrange dispatch of goods with carriers to meet deadlines
  • Raise customer invoices and send out in method according to customer profile
  • Communicate with sales managers regarding order lead times and dispatch dates of finished goods, including immediately notifying any delays or issues relating to customer orders
  • Work with accounts department to ensure that credit control matters are adhered to
  • Resolve minor price queries or customer complaints, report complaints using the appropriate process and escalate complicated or large queries/complaints to senior management
  • Report into team meetings any significant events or information affecting the companys ability to successfully fulfil sales orders
  • Ensure stock of charge sheets and certificate books and arrange dispatch to customers
  • Work with internal and third-party stakeholders to supply raw materials. Raise and process purchase orders and assist with stock control, ensure orders are processed to company standards, and dispatched correctly and on time
  • Assist with annual and ad hoc stock checks, produce and check stock reports, raise discrepancies
  • Liaise with carriers to obtain and arrange transport as required.
  • Produce labels and dispatch paperwork to support the order processing procedure.
  • Assist Operations team as required, including absence cover
  • Contact customers to provide information such as minimum order quantities, standard lead times and additional charges in accordance with the customer charter
  • Report compliance issues and raise concerns relating to the business promptly through available channels
Qualifications / Experience
  • Background in science or administration with an interest in science could be useful
  • Experience in a business-to-business customer services, sales, or production office
  • Experience working in handling or logistics of hazardous products or dangerous goods
  • Experience using Microsoft Navision or similar MRP/ERP system
  • Intermediate Microsoft Office and I.T. skills
  • Basic knowledge of dangerous goods regulations for sea and road
  • Able to work as part of a team, and to proactively work independently
  • Sound judgement, confident decision making and communication, attention to detail with efficient working style
  • Basic knowledge of goods export procedures
  • Understanding of material safety data sheets, and the safe storage and handling of chemicals (e.g., COSHH regulations) Knowledge of Incoterms
  • Potential to be able to lift boxes, label goods and perform other lightweight packing duties
