Job Description

Cove are working alongside our client a large managed service provider who have an immediate opportunity for a Resource Planning Assistant who will assist in ensuring that they have the correct levels of staff assigned to the right tasks at the right time across the business.Working within the delivery team your goal being that you help make it easy for their clients throughout the UK and US to reach their business any time of the day for them to complete allocated projects successfully within agreed timeframes.Responsibilities:

  • Effective scheduling of resource across varying shifts according to volumes and skill set to ensure we meet SLA’s within a selected time frame.
  • Managing all aspects of absence and monitoring that it’s kept up to date (planned and unplanned)
  • Reviewing and matching data from three systems to identify gaps then contact the deal owner’ (internal) to resolve
  • Analysing base date to identify gaps
  • Create reports to summarise key information, usually in Excel
  • Where required discuss planning outcomes with individual members of the delivery team
  • Management of all flexible Work Requests and determining if they fit within our capacity plans
  • Assist with recruitment timeline and liaise with line managers to ensure we are on track and ready for required date
  • Attrition analysis and provide insight into potential solutions to reduce attrition
  • Utilise forums and platforms provided to ensure we are getting the most from the software, check sales pipelines and raise any forecasted issues.
  • Keep updated on new releases of software and ensure we are feeding back ideas to the provider to enhance the system
  • Suggest improvements to current processes and reporting to maximise operational efficiency; while maintaining our exemplary customer experience ensure all process documents are maintained and kept up to date Qualifications
  • Liaise with staff across the business, on timeframes of current project allocation and staffing requirements
  • Requirements:
  • Highly proficient with all MS Packages to include Excel (Pivots, lookups)
  • Strong interpersonal skills
  • Articulate and able to communicate effectively via email, Teams video calls and telephone
  • Able to demonstrate empathy with the broader team in what is a fast -moving environment
  • Ability to report and make decisions
  • Capacity to work under pressure
  • Excellent attention to detail
  • Problem solver
  • Able to cross reference and raise any issues
  • Experienced in process administration
  • The package:
  • Remote working
  • Salary circa 23k
  • Initially 3 months with the potential to go into a permanent role
  • Monday to Friday 37.5 hours
