Job Description

Job title: HR and payroll AdministratorLocation: Head Office in NewportContract: PermanentSalary: £26,500 per annumHours: 37.5 hours per weekAcorn Recruitment is currently seeking a HR/Payroll Administrator on behalf of their client. The client is a third-sector group that offers a range of recycling, reuse, and education services in South Wales, based around recycling and reuse. They are an environmentalorganisation whose aims are to reduce the amount of material going to waste and to benefit the local communities of South Wales.Person Specification:The HR & Payroll Administrator will provide administrative support within the HR and Finance remit of the organisation along with general administration across the company. This is an excellent role for someone who wishes to develop their skills within a growingcompany, learning about all elements of our business.The company is looking for someone with administration experience, prior experience of payroll preparation and complete processing. You will provide support in relation to recruitment, employment letters and contracts, employee vetting, on-boarding, payrolland all things related to the administration of their people services. In addition, youll provide administration support to the leadership team - arranging and minuting meetings, purchasing and managing office supplies and equipment, managing the administrationof our quality management system, and any other administrative tasks to help with the smooth running of the company.Duties and responsibilities:* Daily/weekly maintenance of staff clocking-in system, i.e. adding/deleting staff, updating reason for absence; collation of reports to support HR and Finance* provide support in relation to recruitment, employment letters and contracts, employee vetting, on-boarding and payroll tasks* Process monthly payroll for 130+ employees with Quickbooks Online Payroll* Processing starters and leavers* Maintaining company pension scheme* Processing overtime* Submitting HMRC submissions* Processing of SMP, SSP and SPP* Maintaining payroll information* Maintaining absence management system* Collaborating with the HR department to maintain employee data* Maintaining company car information* Resolving employee payroll issues* Submit salary payments, pension contributions and NI & taxes for authorisation* Process Payroll Journal in Quickbooks online* Minute taking at disciplinary and grievance hearingsMisc. administration:* Responsible for sourcing goods and making purchases in line with procedures and ensuring that POs are correctly raised after authorisation* Taking minutes at other staff meetings* Scheduling meetings/room bookings/events for the company* Assisting with funded projects administration and reportingISO Administration (quality management system):* Keeping the master index updated with changes to our management system* Taking minutes at ISO audit meetings* Supporting management with general ISO administrationKerbside Department: Covering receptions during holiday/absence, periodically taking calls and passing to relevant person/department; administering NCC complaints systemEssential qualities:* Prior experience of Payroll preparation and complete processing is a must* Strong academic record to degree level* Experience within an office environment - ideally in a role involving people services* Work on your own initiative with minimal supervision* Work effectively in a team and a great communicator with a positive attitude* High attention to detail* High level of competence in IT tools including word, excel and accounting software* Discretion and confidentiality in relation to the sensitive personal information you will be handlingDesirable:* Finance qualification (e.g. AAT)* HR qualification (e.g. CIPD)* Experience producing formal written documents (e.g. contracts, letters) and financial reports* Experience of taking minutes at formal meetingsAcorn Recruitment acts as an employment agency for permanent recruitment.
