Job Description

Our client is at the forefront of innovative cancer care with their UK network of cancer centres. They provide the most suitable, state-of-the-art cancer treatment and an exceptional level of care to every patient. The centres deliver high-quality diagnosticimaging and the latest in advanced cancer treatments including radiotherapy, chemotherapy, immunotherapy and, in the future, proton beam therapy across all centres.Job PurposeTo deliver excellent front facing customer service being the first point of contact for all patients and visitors to the centre. Professionally greeting, welcoming our patients their families and centre visitors, directing them appropriately. Notifying companypersonnel of visitor arrival.Main duties and responsibilitiesIncluding but not limited to:-

  • Provide a professional welcome to patients and visitors when greeting them, in person or on the telephone, answering or referring enquiries accurately.
  • To correctly register patients within the Compucare management system; ensuring appointments are booked and maintained appropriately between the Compucare and Mosaiq systems.
  • To obtain all required medical history, imaging and any relevant previous correspondence relating to the patient to allow the treatment pathway to commence.
  • To liaise with Oncology Medical Secretaries to facilitate the smooth running of the patient scheduling for treatment.
  • To liaise with insurance companies as and when required.
  • To help manage the clinic rooms to ensure they are booked, and clinics are managed effectively.
  • Provide secretarial support for Consultant Oncologists.
  • Keep patient appointments on schedule by notifying the clinical team(s) of the patients arrival, reporting any patient concerns, or potential delays.
  • Comfort patients by anticipating patients anxieties; answering patients queries in a calm and empathetic manner.
  • Maintain the reception and patient waiting area and equipment to a very high standard.
  • Protect patients rights by maintaining confidentiality of personal and financial information at all times.
  • Maintain organisational excellence by following company policies and procedures.
  • Ensure all mandatory training is completed in a timely manner.
  • Completing general administrative tasks as required.
  • Arranging travel/accommodation for patients, as necessary.
  • Contributing to team effort by accomplishing duties and responsibilities consistently.
  • Log faults appropriately and timely.
  • Flexible to change shifts as required.
  • Assist with consultant invoicing.
  • Help keep up to date records on patient payments.
  • Arrange and support MDT meetings (including minute taking).
  • Assist peer review meetings when needed.
  • To work weekends as and when necessary on a rotational basis.
Person Specification- Essential RequirementsQualifications
  • Relevant typing/secretarial experience, including minute taking.
  • Fully competent and proficient in Microsoft Office packages, including: Word and Excel.
Experience
  • Positive customer service attitude.
  • Multitasking and time-management skills, with the ability to prioritise tasks.
  • Experience in using telecommunication systems.
  • Ability to be resourceful and proactive when issues arise.
  • Able to work under pressure.
