Job Description

This is a permanent, full time position based at our facility in Crumlin.Role OverviewThe Business Services Coordinator will be responsible for the organisation and coordination of all front-of-house duties and support for BBI Group Global Headquarters. The role is responsible for coordinatingoffice activities that provide a seamless servicefrom administrative procedures to inventory control that support relevant procedures in order to ensure organisational effectiveness, efficiency, and safety.From time to time, the role will also include assisting in key projects and other business initiatives as required. There will be a requirement to be flexible to accommodate different time zones across the business.Communication with internal and external stakeholders will be a key part of the role and the incumbent is expected to act as an ambassador of the company and the Business Support team.The environment is fast-paced and dynamic, so the role requires someone who can deliver to a high standard whilst dealing with ambiguity, changing deadlines and priorities, all the while keeping a calm demeanour in order to make sound decisions.Role RequirementsKey responsibilities will include but are not limited to:Front of House

  • Act as the first point of contact, providing guidance and support for employees, visitors, clients, and suppliers.
  • Devising and maintaining office systems, including data management and filing
  • Create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness and communication
Business Support
  • Undertake a full range of administrative support services across the business including regular handling of sensitive and highly confidential material, with minimum supervision.
  • Diary management, arranging internal and external meetings/appointments, responding to change at short notice
  • Organise and attend meetings, ensuring assigned team members are well prepared for meetings, producing accurate and timely meeting minutes where required, co-ordinating action items and deliverables
  • Handle correspondence, produce queries and prepare letters, presentations, reports and issuing interim reminders when major deadlines are looming
  • Raising Purchase Order requests
  • Expenses management
  • Provide support to key projects and other business initiatives as required.
Internal Communications
  • Support the delivery of internal communication activities to keep employees informed of the issues affecting them via events and campaigns which provide effective communication between colleagues.
  • Seek out, plan, generate and share good news through our various internal channels including employee emails, SharePoint articles, Notice Boards etc.
  • Support internal initiatives to increase engagement working with internal working groups such as our Employee Forums.
  • Supporting the delivery of live in-person and virtual events, from small face-to-face sessions through to large-scale town hall meetings at BBI Group sites.
