Job Description

  • To provide administrative support for the Learning and Development Team.
  • To provide support in efficiently meeting the objectives of the department.
  • To maintain an accurate database of staff training records for a range of training activity across the region. To ensure stationery supplies are adequate and ordering when required.
  • To report any maintenance defects with the Learning and Development Office to the appropriate department for action.
Duties
  • On a daily basis, deal with routine correspondence, daily post, telephone calls, email enquiries, using own initiative to deal with any enquiries directly or take messages when appropriate.
  • May be required to be the first point of contact for staff wishing to raise issues.
  • Dealing with sensitivity owing to the nature of the issue.
  • On a regular basis, welcome visitors to the Learning and Development Office and ensure that they are appropriately looked after, providing information and assistance.
  • On a regular basis, organise internal and external events such as meetings or training programmes including sourcing and booking the venue, organising refreshments, and raising the necessary paperwork for Procurement.
  • Responsible for planning, preparing and distributing course paperwork for programmes administered by the Learning and Development Team, ie joining instructions, course handouts.
  • On a monthly basis, set a deadline and collate the Trust Personal Development Review Achievement.
  • This will include liaising with a range of internal staff to confirm the number of PDRs completed and collating this data into a table for inclusion in the Trusts statistics.
  • Liaise with and assist external training providers when planning/organising events on behalf of the Trust.
  • This will include acting as a focal point for any enquiries from the provider and also answering queries from internal managers/delegates.
  • Act as principal contact for all mandatory training enquiries for staff; take responsibility for answering the queries immediately or finding out an appropriate response and responding in a timely manner.
  • Act as nominated administrator for all external mandatory websites; monitor activity, resolve any queries, report any significant issues to the Learning and Development Manager.
  • Other reasonable tasks such as covering sickness absences as and when required.
