Job Description

This temporary post running until 30th September and is primarily intended to support the organisation of:

  • the Meet and Greet Service from Newcastle Airport for new international students
  • the Orientation Fair for International Students
The postholder will also support with other administrative duties within the Student Support and Wellbeing Directorate as required.Support with the Meet and Greet Service will include:
  • managing and interrogating the online booking system;
  • confirming bookings and arrangements with students via email;
  • responding to enquiries from students via email, phone, and other media;
  • updating arrival information on the website and other social media;
  • liaising with staff at Newcastle Airport;
  • liaising with staff at Stanleys Coaches;
  • liaising with staff at Arrow Cars;
  • sharing arrival information with Colleges;
  • organising rotas for staff and student helpers;
  • ordering and making payment for resources;
  • working at Newcastle Airport or the transfer hub in Durham City
  • arranging parking for staff volunteers at the airport;
  • checking invoices and making payment for coach and taxi transfers, and use of the airport.
Support with the Meet and Greet Service and Orientation Fair will include:
  • liaising with external presenters;
  • liaising with Colleges;
  • producing resources;
  • greeting presenters
  • marshalling students
Role responsibilities:
  • Work with team members to ensure the timeliness and relevance of services.
  • Work with team members to ensure the smooth running of administrative processes to support people and business activities.
  • Apply recognised professional, commercial and/or organisational service level standards to enhance the stakeholder experience.
  • Liaise with internal and external suppliers and specialists with the organisation, planning and delivery of services, activities and events.
  • Work with team members and others across the organisation to prepare for the delivery of activities and events, particularly the International Meet and Greet Service.
  • Liaise with representatives from other service areas, professional organisations and agencies to source and exchange information where necessary.
  • Record, collate, analyse, store and report data and information ensuring the accuracy and safety of information.
  • Update and distribute documents and communications in standard professional formats.
  • Update appropriate sections of the website;
  • Make venue, catering, travel and/or equipment arrangements.
  • Process invoices and orders, making effective use of financial administrative processes as required.
  • Any other reasonable duties.
OWN VEHICLE AND DRIVING LICENCE IS NOT ESSENTIAL FOR THE ROLE
