Job Description

We celebrate multiple approaches and pointsof view and believe diversity drives innovation, so were building a culture where difference is valued.The RoleThe Newcastle based Finance Operations Team are located within the Newcastle Hub and service many different EMEA wide Finance roles. This ensures effective delivery of Client Matters Set ups, Matter Maintenance, Billing and Credit Management work to thewider Finance and legal teams.Key Responsibilities

  • Opening of Client Matter Inception forms via Intapp, ensuring all Matter data is correct
  • Dealing with Matter Maintenance of existing files to make sure all invoices are produced accurately and with the correct assignments.
  • Undertake further duties as directed by Revenue Team Leaders
  • Pre-due calling to clients regarding unpaid invoices, via phone calls, emails and updating spreadsheets
  • Bill dispatch, sending of client invoices, narratives and supporting documents by email/letter. Managing dispatch mailbox and corresponding spreadsheet
  • WIP, Debt and narrative reporting. Time transfers, amendments and deletions. Time entry requests, and file closing.
  • To include support of Disbursement uploads
  • Support with preparation of invoices
  • Resolve client and internal NRF requests received in the Credit Management Team inbox
  • E-filing of invoice dispatches and following up on those missing
  • Loading of remittance advice to collections system
  • Assist with office account payment to invoice allocation
  • Debt and payment reporting
  • Processing write offs and e-filing approvals
  • Run Intercompany process and report to management
  • Complete new vendor forms and provide supporting documentation
Skills and Experience Required
  • A team player with strong communication skills and the confidence to liaise at all levels.
  • Adaptable and able to complete tasks without close supervision.
  • Self-motivated and dedicated to task completion.
  • Strong legal billing experience, ideally reflecting use of a recognized legal practice management system (e.g. Aderant Expert, Elite or SAP).
  • Good working knowledge of Word, Excel and Outlook and general familiarity with IT systems.
  • Must be articulate and professional in delivery, with a well-developed sense of discretion.
  • Must be flexible over hours and prepared to work occasional overtime when required, in particular at month ends.
