Job Description

KCR Solutions are delighted to be working in partnership with Northern Stage: a vibrant theatre in the heart of Newcastle and home to artists, writers, makers, digital creators and businesses who exist for more than profit. They are looking to recruit an Executive Assistant who ideally has an interest in the arts and who would love to work in this sector. Your duties will be as follows:

  • Providing efficient administrative and general support to the Executive Team to assist them in fulfilling their roles effectively
  • Managing the Artistic and Executive Directors’ diaries and arranging the smooth running of their schedules, including prioritising appointments and forward planning
  • Taking calls on behalf of the Executive, prioritising correspondence and responding as appropriate
  • Arranging internal and external meetings, keeping relevant event management tools up to date, and preparing papers, rooms and hospitality
  • Organising travel and accommodation arrangements for the Executive Team, Board and others as required
  • Attending and taking notes at meetings, including board meetings, sub-committees, senior team, health & safety committee and company meetings
  • Coordinating functions and hospitality events on behalf of the Executive and/or Boards
  • Coordinating Board meetings & sub-groups, collating & circulating papers, coordinating logistics and meeting spaces (in person or online)
  • Assisting the Finance Director in their role as Company Secretary, and maintaining company registers as required
  • Supporting the HR Advisor and Executive Director to manage HR systems and processes of the organisation
  • Ensuring personnel systems and procedures are implemented consistently across the organisation, including inductions, annual appraisals, and staff policies
  • Maintaining and developing personnel files and record systems
  • Providing support for the recruitment process - booking adverts, scheduling meetings, assembling paperwork, and maintaining records
  • Ordering stationery and associated office supplies, and managing the associated budget
  • You will have excellent administrative, organisational and administration skills and be a confident communicator. The ability to multi-task, prioritise effectively and forward plan in a fast paced and dynamic environment is essential.
