Job Description

About the role:This role is intended to provide high-level specialist support to LUCs technical teams. Based in our Manchester office, you will be working as part of the wider UK support team, ensuring a consistent and high level of service is provided at all times toour Planning, Landscape Management and GIS & Visualisation Teams. You may also be required to support other teams in LUC from time to time.This is also an opportunity to work for a sincere, employee-owned company with strong values and a particular focus on addressing the climate emergency.The Team Coordinator will carry out a wide variety of tasks which could include:Prime responsibilities

  • Project support duties under the Quality Management System (QMS)
  • Specialist administrative support and assistance for business teams
  • Preparation and formatting of client reports in different templates and styles, including LUC bespoke templates, client specific templates and WCAG 2.1 compatible templates
  • Reception cover and general administrative support when required
Tender and project support
  • Provide general administrative support in creating and maintaining opportunity, tender and project records on LUCs QMS, update them as appropriate
  • Provide specialist support in the production of documents, including report formatting in various templates, coordinate mailings and surveys where applicable
  • Identify potential bid opportunities for the company from the daily listings and emails received
  • Assist with creation of tender/bid documents, including completion of non-technical sections and standard questionnaires
  • Co-ordinate the bidding team responses into the bid document, where required, including formatting and proofreading
  • Submit professional tenders on time through specific tendering portals
General support
  • Assist the office team with answering phone calls and taking part in covering reception duties, including post, couriers, booking meeting rooms, greeting visitors and providing refreshments for meetings
  • Check and action generic email accounts by dealing with requests or forwarding them to the relevant staff
  • Occasionally support the office team in making travel and accommodation bookings
  • Occasionally assist the marketing team with local events
Office maintenance and health & safety
  • Occasional general housekeeping tasks (e.g. recycling, stocking kitchen and stationery etc.)
  • Undertake First Aid and/or Fire Warden roles (according to ability and requirements)
Other duties as requested by your manager and commensurate with your role and responsibilities.The role includes the opportunity to share and participate actively in the management and ownership of the business through the Employee Ownership Trust, which places full ownership of the company with our employees.A full-time role would be based on 37.5 hours Monday to Friday. However, LUC has a strong track record in flexible working and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for thisrole including some remote working and /or part time hours (minimum 30 hours per week) if desired.Salary range: £21,000 - £23,000 FTE depending on skills and experience.About you:If you have the following qualifications, skills and experience we would like to hear from you:Experience and qualificationsEssential
  • Proficiency in MS Word, Excel and Outlook is essential, especially an in-depth understanding of Word templates and ability to solve formatting issues in reports. LUC uses bespoke report templates and the full training on these will be given, as you willbe expected to provide a high-level of formatting support.
  • You must have prior experience in a support role, where you have used general administrative or secretarial skills.
  • You must be flexible, able to prioritise independently, manage multiple demands and work to tight deadlines, as these are key aspects of the role. The right person will meet these challenges with a helpful and positive attitude. This role also requiresconfident relationship building and communication at all levels within the organisation, as well as external contacts.
  • It is essential that you have a good eye for detail, especially in relation to reports and documents, and can provide a basic level of proofreading in English.
  • We do not require a specific level or type of academic qualification, but candidates must have relevant experience, be numerate and have a good standard of written and spoken English. They must also be able to demonstrate intelligence and organisation intheir approach to work.
Desirable
  • If you have experience of using Adobe, PowerPoint, MS Teams, Intranet or document management systems, that would be desirable, otherwise training on these will be provided.
  • Experience on a reception desk would be helpful but not essential.
  • Experience of working within an ISO Management Systems environment would be advantageous.
  • An interest in the geography and environment or experience of working in our sector would be advantageous.
