Teams Description: (Overview of the team):The successful candidate will join the Global Legal Solutions team. The Global Legal Solutions team is part of the broader BNY Mellon Legal team. The Bank of New York Mellons Legal Department, as a trusted advisor, supports the Corporations achievement of its goals by providing independent, high quality, timely and cost effective legal services and with a strong commitment to the Corporations Values.It provides this support by identifying, assessing, managing and mitigating legal risk and by anticipating and being responsive to the legal needs of the Corporation. The Global Legal Solutions team support the Legal department in the execution of its day-to-day responsibilities, strategic planning and evolutionary initiatives to position the department for long term success. Job Purpose: (What the job role involves):To support the oversight and management of BNY Mellons Legal Billing system (Tymetrix/T360) and Outside Counsel finance activity. In this role, the team member will be expected to contribute to the development and execution of efficient financial processesand/or procedures. This team member will directly support analysis and reporting of Outside Counsel spend in support of Legal, Corporate Security, Government Affairs and Global Privacy Office operations, including special projects/initiatives and/or strategic/operationalplanning activities. They may serve as a project lead, enlisting support from more junior staff or peers. Responsibilities: (Key parts to the job role)Support the Global Legal COO in providing oversight and management of Outside Counsel finance activity within the department including but not limited to:

  • Legal Billing system maintenance including set up of law firm static data
  • Law firm rate review processes
  • Annual Outside Counsel planning cycle, including budgeting, reforecasting and cost monitoring
  • Supporting attorneys and other legal department professionals as required with:
    • Matter set up within Legal Billing System
    • Application within Legal Billing System of selected law firm/vendor from BK Legal Network including supporting processes to go off panel
    • Resolution of issues with bill processing and payment
  • Bill submission and review processes
  • Accrual processes
  • Managing day-to-day interface between legal billing system and general ledger
  • Routine financial reconciliation processes (Legal Billing system to General Ledger)
  • Gather, organize and review relevant operational data/metrics.
  • Analyse and synthesize data into reports or presentations.
  • Participate in relevant projects for the Legal Department function.
Requirements; (what we are looking for)The following core skills are required
  • Previous experience involving financial analysis and/or cost management.
  • Experience of internal financial and expense management systems and following internal financial and billing processes
  • Proven administrative, document production experience, along with advanced knowledge of MS Office packages, especially Excel.
  • Experience of working closely with senior stakeholders.
  • The successful candidate should be organised, efficient and capable of working to instructions with minimum supervision. In addition to these attributes, they must have:
    • Ability to work to tight deadlines, prioritising tasks accordingly.
    • Strong project management skills, supporting effective tracking of tasks through to successful completion.
    • Ability to develop and deliver both informational and decision-seeking reports, analyses and/or presentations.
    • Proactive and enthusiastic approach to work.
    • Strong communication skills (both written and verbal) and strong interpersonal skills , including the ability to effectively communicate with colleagues in the Legal Department, finance and other corporate functions and LOBs
    • Proven experience of successfully managing internal and external stakeholders including leveraging influencing skills to achieve role objectives.
    • Operate effectively and collaboratively as part of a wider team both within legal and wider executive/business stakeholders.
    • Proactive in building and maintaining strong working relationships that support effective completion of role.
    • Self-motivation to drive delivery against objectives - ability to work autonomously;
    • Customer orientation & specifically a willingness to learn and to cultivate good working relationships with internal clients.
    • Seen as approachable, helpful and discreet.
    • Adept problem solving skills - ability to identify practical solutions and work through problems to conclusion;
The following core skills are preferred
    • Bachelors degree or the equivalent combination of education and experience is required.
    • Relevant accounting qualification such as AAT, CIMA etc
