Job Description

Our client a global, leading property developer is looking for a well presented and articulate Receptionist.Reporting to the Office Manager, the Receptionist will be the first point of contact for visitor to the office, they will be responsible for answering telephone calls, taking memos, greeting clients and customers and sending and receiving correspondence. They will provide administrative support in the form of clerical duties, taking full responsibility for the offices general administrative duties.The duties of the Receptionist include, but are not limited to:

  • Greet guests and visitors, manage sign-in book, prepare refreshments;
  • Answer intercom and open the door to visitors;
  • Responsible for reception area, tidying, watering plants, organizing magazines etc.;
  • Answer and direct phone calls taking messages, cover the reception desk;
  • Manage meeting room calendar, set-up room for meetings, order catering, tidy after use;
  • Monitor and record expenditures and office inventory;
  • Assist with all aspects of administrative management, directory maintenance, logistics,equipment and storage;
  • Schedule appointments and prepare and distribute meeting materials, take detailed minutes;
  • Schedule and coordinate meetings, interviews, events and other similar activities, booktravel arrangements, provide general support to visitors;
  • Send out and receive email, mail and packages;
  • Prepare business correspondence, agendas, and presentations;
  • Maintain the filing system; assist staff with paper & electronic filing when required;
  • Operate a range of office IT such as photocopiers, computers, VC equipment, meeting room media;
  • Manage mailing or distribution lists as needed;
  • Maintain professional and technical knowledge by attending educational workshops;
  • Handle sensitive information in a confidential manner;
  • Assist Office Manager with other duties where required
  • The successful candidate will possess the following:
  • GCSE Maths & English (or equivalent);
  • Recognition of the importance of relationships and the ability to build these across the organisation;
  • Be presentable, polite and professional;
  • Have a full working knowledge of all Microsoft packages including Excel, Word and Outlook;
  • Be confident and resilient;
  • Work to own initiative and work well in a team;
  • Be approachable and have a friendly demeanour;
  • Be organised and able to prioritise own workload;
  • Excellent communication skills
