Our well established client are seeking an Operations assistant to join their dynamic and friendly team. Salary £20,000 - £22,000 plus excellent perks and benefits and flexible working hours and patterns including part time hours consideredRoleProvide operational support to ensure the smooth and optimal running of the offices Provide administrative support to Senior Leadership Team Provide operational support to staffQualifications/skills Experience in administration and/or project management Performs daily duties/tasks to a consistently high standard demonstrating: organisational skills and proactivity; excellent written/oral communication skills; numeracy skills; accuracy and attention to detail; ability to consistently meet deadlines; abilityto multi-task and manage own workload; discretion when handling sensitive informationResponsibilities Office management Monitor office supplies/equipment and order as needed for both sites- water cooler, kitchen supplies, client/office catering - stationery Provide day-to-day logistical and administrative support, including - office environment- visitor management- parking management- desk booking system- post and couriers- expenses and invoices Support Operations Manager with: - management of facilities suppliers and service providersHR Carry out HR administration as required, including: - new starters: IT setup, desk setup, induction plans; office induction, enrolment into private health scheme, general forms and paperwork- processing leavers, maternity leavers and returners, freelancers and contractors- absence tracking including annual leave, illness and other absences- other HR administration such as coordinating DSE risk assessments, employee surveys Maintain employee information and records such as organograms, phone lists, experience database and other listings Prepare HR letters and documents as requiredBusiness support Provide new business and project support as needed, including travel/accommodation booking and onsite forms Work with the Operations Manager to coordinate and plan internal events and initiatives, including company meetings, staff welfare initiatives and social events Prepare letters and documents and provide general business and SeniorLeadership Team support as required Update/maintain internal documentation and resources (including intranet content) as requiredProvide logistical support for training activities, including:- maintaining staff training records- Set-up of training courses and meetings Coordinate and schedule meetings and calls as required Provide support with policy and procedures development, roll-out and ongoing monitoring, as requiredIT and technical equipment Support Operations Manager with: - management of technical equipment including IT equipment, meeting room equipment, phones and conferencing systems- maintenance of asset register- provision of IT support and liaison with IT- development of IT guidance/tipsdocuments and reminders
