Job Description

Would you like to be a part of a new division of a large multinational organization and make it successful with your own ideasMy client is looking for a talented Operations Support Manager to join their growing UK agency team in the SME Support business area. Ideally located in the Manchester area, however hybrid working/remote locations will also be considered. ABOUT THE ORGANISATIONThe SME Services division area is a fast-growing part of an international media organization and is one of the worlds most profitable media houses that is opening the next chapter on its way towards digitization. It employs a team of 800+ ambitious, curious people who are passionate about helping small businesses improves their results with affordable, high-quality digital marketing. Understanding their customers individual needs is critical to serve them through aguided marketing platform with on-demand personal support by experts. The international team is already operating from Hamburg, Berlin, Lisbon, Amsterdam, Copenhagen, Tel Aviv, and several cities in Poland, and now with a brand-new UK operation. ABOUT THE ROLEAs the Operations Support Manager for a recently launched UK team, you will be the administrative glue that helps the team to perform to their best for customers. Working closely with management, the customer support, and expert digital marketingand services teams, you will help to generate the daily rhythm of the operation, facilitating collaboration and service performance, and creating and implementing solid admin support processes to help the company operate at its best. Your mission will be to:

  • Work closely with management and customer-facing teams to ensure smooth communication workflows and day-to-day administrative operations.
  • Operate as the office manager for the UK operations.
  • Manage the team calendar, email groups, and Team SharePoint folders to ensure strong communication and access to an organized repository of information to assist operations.
  • Schedule and keep pace on the reporting rhythm of the business keeping track of responsibilities and actions to deadlines.
  • Assist in the creation and delivery of reports to ensure the management team has good visibility of the status of all service projects.
  • Manage supplier liaison and work with our colleagues in central admin and finance to ensure invoices are processed effectively
  • Assist in front-line customer communication when required, helping the Customer Success and Digital Expert teams, with virtual payment processes where necessary.
  • Provide administrative assistance to senior management including diary management and the efficient scheduling of meetings where required.
  • Create reports and presentations for circulation to key stakeholders
  • Capture meeting minutes and actions, following up where necessary
  • Assist in the creation and development of internal communication materials such as operating manuals, staff training, induction materials, policies, etc
  • Assist the partnership development manager with commercial support activities where required.
ABOUT YOUWe are looking for someone with:
  • Technical skills and aptitude with the ability to learn software programs.
  • Experience with CRM software and project management systems - essential.
  • Experience in MS office products, with the ability to create presentations and reports for senior management.
  • Digital marketing knowledge and agency background - preferred.
  • Previous experience in supporting sales or services teams in a remote operation.
  • Strong communication and rapport-building skills.
  • A drive to support small businesses to thrive and succeed.
  • Ability to solve problems, resourcefulness, and independence.
  • Results orientated and highly organized.
  • Self-motivated, proactive team player, self-learning ability.
  • SaaS experience preferred.
  • Comfortable with data and working to operational reporting deadlines.
  • Excellent verbal and written communication skills.
