Job Description

Working for an award winning "Britains top employer". This company is a market leader within the pharmaceutical sector. A new opportunity has arisen for a Management Assistant / PA to join the UK head office team based in the South Manchester area on apermanent basis paying up to GBP28,000. About The Role: Diary management, with the ability to manage priorities and conflicts for the Commercial Director and Senior Managers Filter all requests for the Commercial Director, taking action where possible and only escalating relevant requests Implement administration processes to effectively track all requests and activity required by the Commercial Director and SMs Collate and produce weekly, monthly and quarterly reports as required for the Commercial Director Maintain and organise filling for the Commercial Director Co-ordinate full travel requirements for SMs, planning most efficient routes, ensuring all requirements are catered for and providing full travel itineraries. When travelling with colleagues etc also co-ordinate colleagues travel requirements. Contingency plansare required should there be issues with any element of the travel arrangements Provide support and/or action requests from SMs Open, sort and action all incoming post for the Commercial Director, Financial Director (FD) and Medical Director (MedD) Establish planning meeting/calls to ensure assigned SMs are fully briefed on upcoming activities and plans and to identify new or upcoming work/priorities Provide full secretarial support including production of correspondence, presentations, reports, completion of expenses, collation and processing of invoicing, filing and authorisation of direct report expenses etc Organise, attend and take minutes at the monthly SMT meetings Proactively manage and co-ordinate actions from meetings, ensuring delivery of all actions and/or updates provided within agreed deadlines Produce weekly whereabouts report for the Commercial Director and SMs Manage key projects as assigned by the Commercial Director, SMs or the Support Services Manager Ensure all meeting related papers are co-ordinated and briefed to the Commercial Director in advance of planned meetings Develop relationships with key internal and external contacts Co-ordination of SMs meetings including, agenda production, collation of papers for all meeting attendees, arrangement of refreshments and equipment. Provide reception support on a rota basis to cover lunch/sick leave. Undergo training on Zinc to manage and process Sponsorship requests As part of the Support Services team, undertake assigned administration/support tasks as allocated by the Support Services Manager Ensure knowledge developed and retained of other administration activities delivered by the Support Services team and cover these roles as required during sick absences and annual leave Work closely with other areas of the Support Services team to ensure the Support Services team meets the needs of the business Essential Skills & Experience Previous PA experience supporting more than one senior manager Extensive experience in travel arrangements and diary management Confident user of Word, Excel, Outlook and PowerPoint About The Benefits Hours of work are Monday-Thursday 8.30am-5.00pm, Friday 8.30am- 4.00pm Salary GBP26,000-GBP28,000 dependent on experience 25 days holiday per annum Private Dental scheme Private medical insurance Free parking Christmas Party Flexible benefits package To Apply If this sounds like a role you will LOVE, please send your CV We aim to respond to all successful applications within 2 days.
