Job Description

JOB TITLE: PERSONAL ASSISTANT TO THE MANAGING PARTNER - Hybrid SALARY: upto £30,000 - depending on experienceHOURS OF WORK: 9 am - 5.30 pm Monday to Friday (office and home-based)BENEFITS: 25+ stats holidays, Pension scheme, Death in service, + more!Main Duties and Responsibilities for the PA role:

  • Monitoring the incoming and outgoing mail of the Managing Partners personal inbox.
  • Sending and responding to correspondence on behalf of the Managing Partner.
  • Full organisation of a complex, busy and ever-changing schedule, ensuring it runs smoothly and efficiently.
  • Ensuring that the Managing Partner is equipped for meetings and events.
  • Regularly minuting, recording and following up on actions for meetings, including the monthly Partners meeting.
  • Collating and submitting expenses through Lloyds online banking.
  • Processing dictations, either in-the-moment or pre-recorded using BigHand.
  • Producing, drafting, and formatting a variety of legal documents, including following hand amendments, as and when required.
  • Direct client liaison.
  • Making necessary travel and accommodation arrangements.
  • Maintaining complete confidentiality when exposed to sensitive data and situations.
  • Keeping in constant contact with the Senior Partners and Heads of Department.
  • Keeping in constant contact with the operational teams, such as HR, Accounts, Marketing and Compliance.
  • Having a full understanding of all legal matters the Managing Partner has fee earning involvement in, and ensuring hes kept abreast of any developments.
  • Ensuring correspondence and documentation, internal and external, is stored securely and accurately.
  • Assisting and providing support with internal business matters.
  • Recording time against legal matters on behalf of the Managing Partner.
  • Working under pressure and often to extremely tight deadlines.
  • General support and ad-hoc duties as and when requested by the Managing Partner.
  • Providing additional support to the Head of the Banking Team (for example, diary arrangements and expenses). Key Systems: BigHand, Case Management Systems
Person specification required for the Team Legal Secretary role:
  • Personal Assistant experience
  • Excellent IT Skills
  • Excellent communication skills both orally and in writing
  • Well presented, appropriate to a professional business environment.
  • Ability to work in a planned and organised way, but has the ability to multitask, manages time effectively
  • Methodical, accurate and consistent even when under the workload and/or time pressures
  • Adapts and fits in well, able to work independently and within a team
  • Awareness of the need for confidentiality
  • Experience using MS office
  • Professional approach
  • Can commute from Manchester, Stockport, Greater Manchester, Sale, Altrincham, Cheshire, Lancashire, Ashton under Lyne, Stretford, Trafford, Bolton, Salford, Urmston, Hyde, Stalybridge and if you are a Legal Secretary in Residential Conveyancing, CommercialProperty, Wills and Probate, Legal/PA, Litigation, Civil Litigation, Legal Assistant with experience in Digital Dictation, BigHand, Document Production, we will welcome your CV.
