Job Description

Slater and Gordon are a leading consumer law firm which provides a broad range of specialist legal and complementary services. We are undergoing a huge transformation across all areas of the business, with a focus on people and technology, and our mission is to give people easier access to our world class legal services.We have an exciting opportunity for an Executive Assistant to provide professional organisational, administration and project support to 2 of our C Level Executives. This will be a fast paced and varied role requiring a high attention to detail. You will be agile and highly organised to ensure the executives time is maximised and that their diary and daily activities and projects run smoothly.We believe that location should not stop us from attracting top talent within the industry so location can be flexible for this role.Responsibilities:

  • Diary management and workload management, including the creation of processes as appropriate to improve smooth running of calendars
  • Assisting with events management, team meetings and supporting with Group events when required
  • Processing and managing expenses, invoices and purchase orders (not required for Tech Team)
  • Building Agendas and publishing these in MS Teams for internal/external team meetings
  • Minute taking (or use of MS Teams transcription) and ensure all actions are captured and followed
  • Ensuring stakeholders are fully prepared for all meetings (appropriate documents printed and operational technical equipment)
  • Carrying out research and present findings when required
  • Proactive follow up of management meeting and actions with key stakeholders to ensure timely delivery
  • Arranging travel including flights, hotel bookings, (when required), car parking and hire etc.
  • Creating travel itineraries when required
  • About You:
  • At least 5+ years recent Executive Assistance experience directly supporting multiple Executive Members
  • Experience of supporting the Executive leadership team within a dynamic corporate environment
  • Experience working within a technology focussed agile environment.
  • Strong Calendar management, project-management and problem solving skills.
  • Effective organisational skills, with a demonstrated attention to detail and the ability to handle multiple priorities in a fast paced environment
  • Team player with strong interpersonal and communications skills
  • Outstanding Microsoft Teams Skills and the ability to work remotely.
  • Excellent Microsoft Office Skills (Outlook, Word, Excel, PowerPoint) and Visio..
  • Experience with organising and facilitating large scale administrative projects on a regular basis (e.g. project planning, monthly reports) etc.
  • Proactive, co-operative and enthusiastic approach to responsibilities with an ability to make decisions.
  • Excellent Communication skills with the ability to communicate at all levels and to influence and build strong relationships both internally and externally
  • High level of confidentiality.
