Job Description

Were looking for a motivated, highly organised Events Co-ordinator to execute 60-80+ events per quarter, from creating invitations and digital campaigns to liaising with venues and supporting presenters. The ideal candidate will have a proven track recordof planning and coordinating successful events from start to finish as well as a strong administrative background.Job PurposeTo develop new business opportunities for Peninsula Business Services by planning and coordinating marketing events.Day-to-Day Responsibilities as a Events Coordinator:

  • Booking event venues (via agent & direct) - signing contracts, VSS payments etc
  • Production of events - this cycle includes: (per event)
  • Create bespoke invitations to mail
  • Create email invitations
  • Approve and proofread all invitations
  • Monitor response rates per event and taking appropriate action
  • Update CRM and reports with all relevant event information
  • Process event cancellations
  • Update the hub/Peninsula website with upcoming events/webinars
  • Create POs and process VCC payments to ensure invoices are processed on time for re. venues, catering, and suppliers
  • Accurately process, update and report on SAT forms (per delegate, per event)
  • Arrange travel and accommodation for presenters
  • Oversee Presenter diaries
  • Assist in delegate registrations
  • Answer queries from various internal partners - BDMs, BSTs, presenters
  • General administration duties as necessary
  • Production of email campaigns for events
  • Create bespoke invitations to email
  • Approve and proofread all email invitations
  • Monitor RSVPs from email campaigns
