Role OverviewWe are seeking a maternity cover for our Billings Administrator within our Property Management fee team to provide accurate invoicing in a timely manner. Working towards deadlines and supporting other admins on billing and set-up.Working alongside the PM Fee Supervisor in ensuring all data is accurate for billing & forecasting purposes. Other adhoc invoicing and admin duties will also be included.Key Responsibilities• Prepare and issue the monthly management fee billing schedule to all CRM’s & Admins• Raising the monthly management fee invoices which can be up to 1,400 invoices in our biggest quarter month billings• Raising any credits where necessary • Set-up and update invoices on our invoice scheduler system to create draft invoices • Internal liaison with Client Relationship Managers / Administrators for sign off on billing• Resolving billing queries • Fee share reconciliation to ensure each region/office has received the correct fee % amount• Ensure accuracy of Fee Sheet information • Debtors reporting to the business • Invoice upload to our Compass system • Rejection & False Submission invoice reporting• New client contract checks to see if fully signed and fee amounts matchKey Skills• High attention to detail, well-organised and good initiative• Strong team player• Be articulate, professional and persuasive with a good telephone manner• Ability to work with relatively degree of autonomy with minimal supervision• Be adaptable and above all keen and enthusiastic• Willingness to learn through internal training as well as independently• Numerate and technically competent• Strong attention to detail• Ability to deal with challenging mandates and coping with a high work load• Microsoft Office - intermediate• Excellent time management skills • Strong communicatorTeamOverviewWorking alongside the PM Fee Supervisor in ensuring all data is accurate for billing & forecasting purposes.
