Job Description

Page Personnel have two exciting opportunities for X2 full time, permanent Administrators to work in a highly successful, global Law firm who offer a fantastic work culture, internal promotions and lots of company benefits. This is a vital role in a busyand professional office working alongside a friendly team and administration team!Client DetailsOur client have 22 offices across the UK, Ireland, Germany, Netherlands, France, Switzerland & Austria, and Trade Mark Attorneys who provide specialist technical and legal advice to blue chip organisations and small to medium businesses across the world.Many of their clients are household names and the work they do allows them to protect and exploit their inventions, new products and branding.DescriptionThe key duties and responsibilities for this role will include:

  • Writing standard letters and emails to clients and patent offices
  • Monitoring General Outlook Mailbox including individual mailboxes
  • Invoicing/billing
  • Answering phones and taking messages
  • Welcome clients and provide refreshments
  • Booking travel/accommodation when required on an online booking system
  • Diary management
  • Some copy and audio typing of correspondence and patent specifications
  • Case diary management
  • Assisting various attorneys to meet deadlines
  • Online filing at European Patent Office, UK Intellectual Property Office
  • Citation reporting
  • Document/file management
  • Information disclosure statements
  • Web searches
  • Entering attorney expenses onto an online system ensuring quick and accurate payment
  • Ordering couriers for postal items using online booking system
  • Using external client systems
  • Using Electronic Filing System (paperless office)
ProfileTo be considered for this role, you will be/have:
  • Must have at least 1 year of previous administration experience within a professional services environment, ideally in an IP or law firm.
  • Demonstrable ability to work to deadlines and prioritise workloads of self and others.
  • A team player who will willingly assist colleagues when required.
  • Shows an interest in the subject matter and an understanding of the legal processes and implications of the work involved
  • Very high levels of attention to detail and consistently accurate work
  • Superb administration skills; be organised, thorough and effective
  • An ability to meet deadlines and work effectively on multiple tasks
  • A proactive approach, be a self-starter who requires very little supervision
  • Must have a friendly and pleasant personality, able to communicate effectively at all levels
