Job Description

This role is being advertised by Savills Management Resources (SMR) a wholly owned entity of Savills (UK) Limited but a separate employing entity which is not accredited by Real Living Wage Foundation.Purpose of the RoleThis is a site based role to proactively support the Executive Assistant and Heads of Department achieve their objectives, providing clerical support for all centre management activities, using a number of online business applications for example MicrosoftOffice, Proactis and Sharepoint.Ensuring both the quality and accuracy of work completed is to the highest standards keeping our internal departments and external stakeholders appraised as required.A confident communicator, with conviction and adept at problem solving as well as being able to develop long term relationships, both in the centre and with the wider business peer group.Key Responsibilities

  • General administrative tasks and duties relating to the operational requirements including drafting, production and checking documents, ordering stationery and stock for the centre management office, archiving, booking couriers, producing movement sheetsetc.
  • Support with preparation/collation of documents, reports, spreadsheets, various presentations for leadership ensuring accuracy and timeliness of information and conformity with the Trafford Centre branding
  • Manage postal duties, set up parcel and courier collection in a timely, efficient manner.
  • Supporting with office service delivery.
  • Data input to a number of databases.
  • Word processing for general correspondence as well as some minute taking.
  • Managing room booking systems and process.
  • An ability to support with all aspects of the purchasing process including raising POs, goods receipting and supplier set up.
  • To undertake any other reasonable duties as requested by the Executive assistant.
  • Contribute to the Trafford Centre by supporting its vision, values, aims and objective, ensuring that consistent best practice is adopted.
  • Process and Coordinate travel bookings
  • Arranging delivery of gifts, flowers and cards.
  • Support to the operational team at the discretion of the Executive assistant and Head of Operations.
Skills, Knowledge and Experience Excellent people skills, with previous experience of dealing with internal and external stakeholders. Polite, professional, articulate, outgoing and a confident communicator (both written and verbal). A high level of interpersonal skills and a willingness to work as part of a team collaborating with boththe local team and also relevant head office departments. Ability to prioritise workload and meet the daily demands of the team either working alone or as part of a team. Adaptable and flexible whilst working in a busy multi skilled office environment. Excellent attention to detail and presentation. Understanding the need for confidentiality when dealing with both internal and external informationEssential: An excellent working knowledge of Microsoft Office (Microsoft Excel, Word and Outlook Previous experience of working within a busy office administration environment. Able to behave with integrity and ensure all administrative information relating to the business is kept confidential (in compliance with GDPR legislation). Excellent interpersonal and customer services skills.Desirable: Strong organisational skills - able to prioritise their workload to meet the daily demands of the role.
