Job Description

Diamond Search Recruitment are working with a well-established and successful Law Firm in the hire of a new Personal Assistant to join their team.You shall be predominantly based at two of the five offices in Gravesend and Maidstone. The role includes but is not limited to:

  • Office management and general client queries
  • Handling all general office and building maintenance queries
  • HR Management firm wide (staff appraisals, recruitment, interviewing and inductions)
  • Preparation of new staff Contracts, obtaining/requesting references and HR Forms
  • Holiday and sickness records / absence cover including locum requirements
  • Health and safety (first aid, fire training and risk assessments)
  • Stationery monitoring and ordering
  • Dealing with Notary enquiries
  • Panel membership applications for both offices
  • Land Registry Portal and Searchflow administration for firm wide accounts
  • Co-ordination of the firms Management Committee
  • Minutes of meetings
  • CPD courses for fee earners
  • Work experience bookings
The role also entails providing secretarial support including audio transcription, general typing, debt recovery assistance, Notary secretarial support, full diary management, client enquiries, filing and organising meetings.Candidates:Successful applicants must come from a legal background and have specific PA or Office / HR Manager experience. This role requires an enthusiastic and technically competent candidate who enjoys a busy yet diverse and challenging role in a friendly and professionalenvironment. The position is based predominately in Gravesend, however travel is necessary frequently to our Maidstone office, therefore candidates must be able to drive and must be fully flexible with regards to their location and working hours. A mobiledevice will also be issued to this role and candidates would need to be contactable outside of office hours for staff queries or office emergencies.This is a busy and client facing role therefore individuals must be presentable with a good client manner, able to prioritise work, meet deadlines, use initiative and work proactively.Firm Wide Benefits:
