Job Description

Connect2Kent have an exciting opportunity for a full time, experienced Business Systems Officer, based in Maidstone, to start as soon as possible.Working directly with the commissioning team and commissioning standards, your main role will be to maintain a specialist focus on key business systems, supporting and developing systems and processes, to support the team and the wider functions.The specific focus will be overseeing and further advancing the business use of the Proactis ProContract eProcurement system, identifying development and continuous improvement opportunities. This will also involve working closely with commercial colleagues to explore and recommend the best option to re-procure the system before September 2021.You will also monitor, quality assure and report on the ongoing use of the system within the business, providing advice, guidance, support and training to users, whilst also playing a leading role in promoting the system with users both across the business as well as within our partner organisations.Main duties and responsibilities:

  • Liaise with colleagues across the business and the provider to shape the development and continuous improvement of the system, prioritising the activities and implementing proposed changes and improvements that will meet expectations and requirements.
  • Work with commercial colleagues to explore the options for the re-procurement of the system, playing a leading role to identify the future requirements, appropriate market research, and securing and contracting a system solution that represents value for money moving forward.
  • Promote the system across the business and with partner organisations, as and when necessary, to ensure full uptake and participation with the platform.
  • Create training materials and standardise processes and templates to enable more efficient use of the system across the business, allowing users to take greater ownership of their use of the system and the tools provided.
  • Provide ongoing guidance and support to system users and advocate best practice to ensure consistent and effective use of the system.
  • Utilise data analysis methods to present business areas with information and recommendations they can readily understand to enable evidence-based decision making and their improved use of the system.
  • Monitor, quality assurance and evaluate the ongoing use of the system, identifying and communicating appropriately any risks, issues and dependencies.
  • Understand and document the functional specification and technical capabilities of the system, in order to recommend system improvement opportunities and solutions based on best practice, user experience and the technical capabilities.
  • Act as critical support for the business in maintaining an effective working relationship with the provider as a part of its contract management and ongoing commitment to proactive continuous improvement.
  • Act as critical support for the business in ensuring that budget management activity associated with the platform is properly informed, accurate and undertaken in a timely manner, liaising with partner organisations as needed.
  • Keep up to date with any developments and practices in relation to the system to provide advice, alter configuration and advise users and guide users of changes
  • Knowledge of Proactis ProContract eProcurement system would be a beneficial, but not required.Role requirements;
