JOB TITLE: Administration Co-ordinatorBAND: 4 CARE GROUP: Forensic & Specialist Care GroupDEPARTMENT: Admin Team HOURS OF WORK: 37.5 hours per weekRESPONSIBLE TO: Performance, Quality and Admin ManagerACCOUNTABLE TO: Performance, Quality and Admin ManagerBASE: Trevor Gibbens Unit, MaidstoneJOB PURPOSE: The Forensic & Specialist Service Line (Service Line) aims to provide high quality healthcare, with a focus on continual improvement across three key domains: • Patient Safety • Patient Experience • Clinical Effectiveness & Outcomes The postwill be at the Trevor Gibbens Unit in Maidstone, which specialises in the assessment and treatment of mentally disordered offenders. Administration Co-ordinators are a flexible resource to support teams in the provision of services, to include organisationof work for self, and other team members, and may have front line contact with service users, carers, the general public or other external stakeholders, as well as internal colleagues. Administrators will support one or more team(s). The focus of this postwill be a high accuracy in proof reading and correction of reports, diary management for self and consultants, attending meetings and minuting, bulk typing and liaising with the Courts to name a few. This role involves working within an administration office,and also spending time on the wards when collecting documents and minuting ward round meetings, therefore the role is patient facing at times. The post holder will undertake full line management duties for selected team members. KEY RESULT AREAS / RESPONSIBILITY:• Chair administrative team meetings during absences • Maintaining confidential staff personal files or Adult Protection files. • Minuting meetings and being responsible for agendas • Scanning and uploading documents to RiO • Arranging meetings and liaisingwith family members 01/04/22 • 6-monthly Care Programme Approach meetings - arranging, adding to diaries, numerous invites to attendees, chasing reports, uploading to RiO and ensuring validation is completed • Liaising with FOLS team, probation and prisons• Ensuring deadlines are strictly adhered to for self and consultants • Attending ward round meetings and taking minutes with patients present • Be aware of acute wards in Forensic Mental Health settings • Telephone work, taking messages and phone calls withfamily • Supervision of staff Undertake all relevant training as directed and participate in regular management supervision and individual performance review. Demonstrate a professional approach to work, be smartly dressed and well-spoken to service users,friends and relatives and all professional visitors to the service
