Executive AssistantLocation: Loughborough, LE11Salary: £11.00 - £18.00 per hour DOEHours: 37 hours a week MondayFridayTemporary VacancyDo you have proven Executive Assistant/Personal Assistant experience Are you an experienced minute taker at Board level Do you have the ability to project manageFlowers Associates are seeking a Temporary Executive Assistant to join a Charity in Loughborough for a period of 6 weeks to provide professional and secretarial support to the Chief Executive and Chair until the permanent position is suitably filled. If youare looking for a temporary position within this field and you have previous experience, then please apply!The role:To provide executive assistant service to the Chief Executive and secretarial support to the Chair, ensuring their offices are managed in the most efficient manner.The successful Executive Assistant will be responsible for the following duties: Build and maintain strong, professional relationships with the Chief Executive and Chair Ensure that the Chief Executive and Chairs daily correspondences are dealt with promptly (Email, post, voicemail) Draft correspondence as necessary on behalf of the Chief Executive and Chair for approval and distribution Maintain the Chief Executive and Chairs diaries, ensuring efficient scheduling of meetings and planning travel/accommodation between venues and meetings Prepare information and support documentation for all the Chief Executive and Chairs meetings Collate and submit expense claims on behalf of the Chief Executive and Chair Establish and maintain an effective paper and electronic filing system for the Chief Executive and Chairs offices Take minutes of all Board meetings Schedule all Executive and Leadership team meetings, and monthly reviews for all direct reports to the Chief Executive (and other one-to-one/internal meetings as required) Maintain a central record of meetings held by the Chief Executive, including key actions and associated documents Any other duties which may reasonably be required, and which are commensurate with the post and its associated level of responsibility. Willingness to work occasional unsociable hours (with time off in lieu where relevant)The Ideal Candidate will:Be self-reliant, pro-active, able to plan ahead, take responsibility for areas of work and display initiative in solving problems. It is essential that the Executive Assistant has proven previous experience within that or a similar role with the ability totake minutes at Board level and effectively prioritise workload to benefit the Chief Executive and Chair. It would be beneficial for the candidate to have knowledge and understanding of the charity sector.
