Job Description

Owen Reed is looking to recruit a motivated and forward-thinking Trainee Recruitment Administrator to join a top law firm in LondonHours: 09:30 to 05:30 (Hybrid)ROLE OVERVIEWWe are recruiting for a Trainee Recruitment Administrator to join the Trainee Recruitment Team.The Trainee Recruitment Team is part of the HR Department and the wider Business Services functionbased at the firm’s head office in London. Its purpose is to work alongside the Trainee Recruitment partners to attract and recruit graduates who will ensure the continuing success of the firm. The team consists of the Head of Recruitment, Marketing Manager,Operations Manager, Adviser, Executive, Assistant, and three Administrators. The successful candidate will report into the Operations Manager.The key responsibilities of this role are set out below and will be shared between the threeadministrators. There may be other responsibilities which are not listed. You may be required on occasion to work outside our normal working hours of 9:30 am to 5:30 pm.KEY RESPONSIBILITIES The key responsibilities of this role are set out below and there may be others which are not listed.   • Individually checking and processing training contract and work experience applications (approximately 4,000 per year) through the online recruitment system
  • Managing the two shared trainee recruitment enquiries and applications mailboxes and updating candidates’ applications/fielding queries as appropriate.
  • Maintaining the online recruitment system in an accurate and timely manner, including communicating application outcomes to candidates and managing the online interview scheduling too
  • Keeping application tracker spreadsheets up to date
  • Responding to general trainee recruitment queries (both internal and external) by telephone and email
Interviews
  • Meeting candidates virtually or in person and setting up their written exercises
  • Liaising with EAs across the firm to identify partners and associates to conduct interviews (approximately 700 interviews per year)
  • Keeping the interviews spreadsheet up to date and ensuring that the interview process runs smoothly
  • Identifying trainee solicitors and HR representatives to meet with candidates as part of the interview process
  • Liaising with the room bookings team to arrange meeting rooms (for interviews in the office)
  • Creating calendar invites for each stage of the interview process
  • Obtaining interview notes from interviewers
Future trainees
  • Individually checking future trainees’ certificates and transcripts
  • Preparing individual HR files for future trainees experience opportunities and recruitment events
  • Identifying trainees and associates to assist with events (approximately 200 events per year)
  • Assisting with the administration of work experience opportunities and recruitment events, including booking travel/hotels
  • Processing invoices and student travelling expenses
  • Assisting with the promotion and email comms for recruitment events
  • Attending recruitment events on an ad-hoc basis
University relationships
  • Assisting with the administration of university society sponsorships, including issuing sponsorshipagreements and processing invoices
  • Assisting with the organisation of campus events/activities at our target universities, including arranging the promotion of firm events, sending out all pre and post event comms, booking travel/hotels, and keeping the university events spreadsheet up todate with all target university activity
  • Arranging meetings with university student prize-winners
Miscellaneous
  • Assisting with other tasks and projects to support the team as required
CANDIDATE PROFILECandidates for this position must have:
  • Ideally degree calibre or equivalent experience
  • Minimum of grade 5 or 6 in GCSE English
  • Excellent proven organisational skills, with the ability to multi-task, keep calm under pressure andwork to tight deadlines
  • Excellent interpersonal and communication skills
  • Excellent written communication skills and attention to detail
  • Enthusiastic individual prepared to take a hands-on approach to managing their workload using their own initiative
  • Comfortable accepting instructions and guidance from different angles
  • Good team player
  • Demonstrates professionalism in all dealings
  • A good working knowledge of Microsoft Office Packages (in particular Word and Excel)
  • An interest in working in HR/graduate recruitment
