Job Description

A dynamic and forward-thinking architecture and property development firm is growing rapidly and looking to build its high quality support team. A friendly, vibrant team is looking for a hard-working colleague to join at this exciting time, working in theirstunning offices on a temp-perm basis. There is also flexibility to work some of the time from home.The role sits within Business Support Group, a team of 16 Team Assistants and Executive Assistants. A varied role that will involve extensive diary management, preparing presentation documents, providing support with invoicing, general administration support,filing and maintenance of filing systems and organising team social events.They are looking for someone to come and join their team who has excellent communication skills and strong interpersonal skills. In addition to this someone who can work effectively as part of a team but is able to use their initiative to support their teamand work with minimal supervision. The successful candidate will also be highly organised and efficient with the ability to manage multiple changeable priorities and work under pressure to meet tight deadlines and produce work to a high standard.Duties:

  • Diary management for members of the business, including the setting up of meetings under the direction of the project/corporate staff, booking meeting rooms, ensuring teams or zoom links are available for virtual meetings, coordinating follow up actionsacross the teams and organising catering when necessary.
  • Provide telephone support; handles general enquiries, both internal and external and filters incoming calls in a timely and professional manner.
  • Undertake general secretarial duties to include, but not limited to, business letters, word-processed documents, reports, meeting minutes, proof reading and checking documentation, assisting with creating hard copy documents, PowerPoint presentation materials,spreadsheets and managing electronic and hard copy filing systems.
  • Work closely with the EAs, TAs and other support staff to ensure the smooth running of your team and the wider workplace.
  • Assist in uploading invoices onto our invoicing system, setting up purchase orders, liaising with Accounts Department and consultants as required. Preparation of monthly credit card/ cash expenses claims for the team. This includes personal and projectexpenses.
  • Assist in booking lunches, dinners and researching suitable venues and restaurants and assisting in organising and attending events as required to ensure these run smoothly so there may be times that you are required to work outside of "normal" workinghours
  • Organise travel and hotel requirements to agreed budget levels and preparing itineraries as required.
  • Organising project site visits for external and internal visitors, ensuring itineraries are prepared in advance.
  • Maintain project directories and contacts using CRM database, as well as creating events on CRM in order to track attendees.
  • Act as project specific information coordinator supporting teams on project extranet.
  • Arrange couriers and undertakes any photocopying and document binding requirements as the projects require.
  • Show an interest and understanding of the various projects by keeping up to date with developments on a regular basis to enhance understanding of the business and the needs of the teams.
  • Ability to respond and react to any urgent work that may arise.
  • There may be a need in the future to allocate you to another team/individuals so flexibility and adaptability is required.
  • Holiday cover for other Team Assistants as and when required.
