Job Description

The EA will provide the full range of executive assistant functions, including diary and travel management, research and preparation of reports and other communication in line with meeting cycles.The EA will organise meetings and events on behalf of theCEO - and, occasionally, also for members of the executive team - to include attendance, bookings, hospitality, accommodation, agendas, pre-reads and minutes.The EA will effectively represent the CEO if the CEO is not there, by which token they are effectively representing the company in their interactions - be they internal or external - meaning the EA must adhere to company policies and procedures at all times.Likewise, the EA must represent and actively promote those same qualities/attributes that we require from every member of our team and demonstrably embrace the values of the organisation.Responsibilities:

  • To provide a comprehensive, high quality, confidential administrative support service to the CEO and senior team
  • Effective, proactive diary management, including ensuring any preparation and support required for appointments, meetings and events created
  • To ensure the effective management of the CEOs emails by assisting in the prioritisation and organisation of incoming mail in accordance with best practice and the CEOs preferred approach
  • To exercise independent judgement and initiative in relation to managing your own workload, to resolve problems as they arise and be able to identify and delegate matters of urgency to appropriate employees
  • Preparing documents to a high standard using Microsoft Office suite (Word, Excel, PowerPoint, Teams and Outlook)
  • Taking and drafting accurate minutes and notes
  • To coordinate, compile and distribute meeting agendas and supporting papers and ensure that action notes/ key tasks are managed proactively and progress is achieved
  • To manage individual projects effectively
  • Accurate expenses and mileage administration
  • Office health and safety coordination
  • Corporate event management
  • Coordination of training, including raising purchase orders, liaising with training providers and managing attendance
  • To respond to and answer internal and external enquiries, dealing with telephone calls, taking messages and greeting visitors.
  • To assist the senior team undertaking additional duties as required
  • To design, rationalise, implement, review and improve administrative systems to ensure high quality services and to make best use of technology, and develop procedures to increase automation and the efficiency and effectiveness of the service
About You:
  • Experience of maintaining attention to detail whilst working within a pressured, time sensitive office environment and providing admin and diary management duties, organising meetings (building based and online), filing, archiving, etc.
  • Excellent IT skills, including Microsoft packages and bespoke databases
  • Experience of accurate note and minute taking and producing high quality PowerPoint presentations.
  • High standards of numeracy and literacy.
  • Good time management and organisation skills and the ability to work under pressure in a challenging environment using initiative, to prioritise workload and meet strict deadlines.
  • Accurate keyboard skills and excellent working knowledge of standard desktop products (email, word processing, spreadsheets, databases, MS Teams).
  • Excellent organisational skills - ability to set up/improve administrative services and prioritise conflicting demands, using technology to maximise performance.
  • An understanding of, and the ability to maintain, the demands in relation to confidentiality.
