Ellingham Close Scheme Manager The Scheme Manager is responsible to the Directors and Leaseholders of Ellingham Close Ltd. Role Purpose: Lead responsibility for day-to-day management of Ellingham Close, a Retirement Leasehold Scheme of 37 properties toprovide effective housing management support to enable residents to live independently in their own homes. Duties include: Liaising with the directors and the management company to deliver an effective service that promotes independent living in the Scheme.Provide flexible and responsive service to ensure the effective management of the Scheme administration in the office. Liaising and monitoring with agreed contractors to ensure all estate services are carried out efficiently and with best value for residents.Accurately record contractor invoices when received and process payment promptly. Collaborative working with the Directors, preparing reports, organising meetings, attending and taking minutes for prompt distribution after approval by those who have attended.Responsible for holding and taking notes at residents’ meetings to update them on Scheme matters. Preparing and distributing a monthly newsletter for residents and generally ensuring effective communication throughout the Scheme. Ensuring the alarm systemis functional and liaising with the Care Alarm service provider keeping their office up to date with all information relevant to the residents at Ellingham Close. Monitoring on-site Health and Safety, manage and escalate risk situations including Fire Safety,Health and Safety, Safeguarding, Insurance liability and compliance to the management company in line with all legal, statutory and regulatory requirements. Responsible for the supervision and security of the communal parts of the Scheme. In addition, to keepand use master keys appropriately. Required to raise repairs for defects or faults in communal areas. Responsible for raising works orders on our housing management systems and monitoring progress. Liaising with local estate agents, assessing potential newresidents for eligibility to the Scheme and ability to maintain their independence in their property. Provide new residents with information on the Scheme. Engaging with the residents respectfully and always ensuring their confidentiality. Promoting and supportingthe development of social activities. When on duty, provide an emergency call response service to residents linked to the communication system. In the connection be expected to give general assistance, record information and follow up on outcomes where required.Person Specification We are looking for someone who is flexible in their approach, adaptable to the changing environment as Ellingham Close has only recently (June 23) gone over to Right to Manage. Training and support will be given to the right candidatewho can demonstrate their willingness to support the ambitions of the Directors of Ellingham Close and maintain a consistently high level of customer service to the residents. Skills Excellent communication skills to communicate information clearly, confidently,and effectively. Ability to deal with stressful, emotional situations calmly, objectively, and efficiently. Strong organisational skills and effective decision maker. Computer literate with good knowledge of Office 365 to include Outlook, Excel and Word. Thinkspractically and logically using a solution focussed approach to overcoming problems/issues. Be able to identify safeguarding issues and use appropriate reporting mechanisms. Experience Appreciation and empathy with the specific client group Required 5 daysa week, 4 hours a day/20 hours a week.
