Job Title: Registry OfficerReporting to: Head of Registry.Salary: £21,000 - £23,000 per annum (Depending on skills and work experience).Place of work: Remote for the time being once governmental restrictions are lifted will be expected to work at one of our Company sites.Hours of work: 9:00am - 6:00pm (8 hours per day) five days a week from Monday - Friday.Job Purpose:As a member of the Registry team, to take a share of the College’s academic administration, providing information and support to students, staff, awarding bodies, SLC, UKVI and other stakeholders. For these purposes, specific student cohorts will be allocated to the postholder(s), who will also be expected to provide cover to other colleagues from time to time and generally share in the workload of the team.1. Principal duties:1.1 Admin duties1.1.1 Escalating first level of unsolved student related queries to Senior Registry officer when unable to solve.1.1.2 To coordinate and communicate with the Head of Registry.1.1.3 An understanding to the cohorts run, subjects and pathways run during the term in order to assist learners if needed.1.1.4 Understanding the term plans, timetables and coordinating and communicating with the learners.1.1.5 To provide administrative support to the senior administrative staff members including board and external official members visiting the college.1.1.6 To undertake office reception duties, both in person and on the telephone, including taking messages for other staff.1.1.7 To operate manual and computerised office systems, including maintenance of files, documents etc., through methods of filing hard copy paper records and maintaining databases.1.1.8 To print students’ ID cards and all required letters for students, keeping track of issued documents.1.1.9 Scan files and upload and update details for all students in Unit-e.1.2 Class registers 1.2.1 Ensure that the class registers for the day session are continuously monitored and tallied with the timetable to be despatch for the day.1.2.2 To ensure that any class registers not collected by 10.15am or 2.15pm or 6.15pm should be immediately identified and brought to attention of the Programme leaders towards adjustment if needed.1.2.3 Continuously assist in maintaining the records of tutor changes such as absences and coordinate and communicate as and when needed.1.3 Cohort administration duties1.3.1 Coordinate and communicate with the learners with their academic progress after the assessment board and ensure to see that the grades are correctly reflected on UNIT E against each student correctly.1.3.2 Continuously monitoring the status of the assigned group of learners by the Operations Manager and ensuring that the attendance and academic performance is monitored and liaised with the cohort leaders for the said cohort.1.3.3 Updating the students with rules and regulations of attendance and acting with disciplinary measures as and when necessary.1.3.4 Assisting in a follow up action for the students who have enrolled but never attended the college since enrolment.1.3.5 Continuously tracking the learner’s journey which includes absence, suspensions, deregistered, inactivation, deferrals and coordinate with the senior management and the cohort leaders as and when required.1.3.6 Continuously follow-up the learners for the responsible cohort and act as the key support between the cohort leader and the students. Ensure to see that data is accurate on UNIT E with regards to the learner’s communication and update as and when needed.1.3.7 Alert the cohort leaders and the Programme Leaders against risk-based learners every week with regards to their attendance and follow-up if needed.1.3.8 Being responsible for the student feedbacks for the allocated cohort and communicate and coordinate with the learners with their performance and results.1.3.9 Review the attendance report for the responsible cohorts on the weekly basis, follow up with students who have low attendance.1.4 Other Admin duties 1.4.1 Assist in preparing packs for various meetings if needed.1.4.2 Assist in photocopying teaching material for the teachers if needed.1.4.3 To assist in putting records on the data base system1.4.4 To assist in the collection of all student registration fees1.4.5 To provide advice and guidance to student if requested1.4.6 Provide reports and analysis as and when required1.4.7 To provide cover for other administrative functions as and when required1.4.8 Dealing with post, and emails including all official communications1.4.9 photocopying and collating papers and mailings pertaining to all official matters1.4.10 Assist in monitoring stock of basic office essentials such as stamps or stationery1.4.11 Assist in ordering stationery, periodicals, equipment and other office essentials1.4.12 Monitor and help in supply of offices with consumables (printing paper, pens, envelopes etc.1.4.13 Work closely with admissions officer and finance officer in particular1.4.14 Assist in ensuring all premises are duly secured before leaving place of work (doors are closed, lights are off etc.) if needed.
