Job Description

Principal Accountabilities:

  • Acting as the point of contact for the public, providing prompt response to enquiries and excellent level of service
  • Managing and maintaining the file and folder system for our teams
  • Responsibility for handling, responding and fielding email enquiries from service users within agreed timeframes and ensuring enquiries are dealt with professionally and responses logged within call capture system
  • Helping to resolve customer complaints, escalating to the appropriate person as needed. Ensure complaints are dealt with professionally and responses logged within call capture system
  • Providing flexible project support in Public Involvement and Engagement through developing and updating project documents, assisting in event planning, assisting the Engagement Team with study record management.
  • Organising meetings for a team with busy schedules, including the creation of agendas and minute / action taking.
  • Managing the team inboxes, by responding to enquiries, maintaining a bank of responses to common enquiries and triaging enquiries that need input from a senior colleague
  • Coordinating payments for suppliers and other partners using specified finance processes
  • Assisting team managers with the collation of information for special reports as required
  • Basic editing of resources as directed by service managers, for a range of audiences
  • Adhering to team and organisational business processes and contribute to the continual improvement of the teams performance by developing recommendations to make processes and ways of working within the team more efficient and effective
