Job Description

Nucleus Global is a leading healthcare communications group with approximately 700 employees around the globe. Our clients are top global pharmaceutical companies and scientific organisations.We currently have exciting opportunity for an enthusiastic Project Executive within the Conference and Travel team. You will be supporting the wider team on projects as well as organising travel and accommodation bookings for clients and internal staff members.Essential Responsibilities:

  • Builds and maintains effective relationships with clients, suppliers and colleagues.
  • Ensures quick response to all external and internal project and travel requests.
  • Collaborate with Conference & Travel and virtual events teams with ad hoc project support across virtual, hybrid and live meetings
  • Support with department communications, guides, processes and training materials for Conference & Travel department
  • Update Travel guidance in line company policies and impact to meeting management, Travel Dos & Donts, arising requirements in line with pandemic evolution
  • Responsible for supporting day-to-day travel arrangements for external clients and colleagues, including (but not limited to) flights, accommodation, trains, transfers etc.
  • Support with BSP and IATA department guidelines
  • Management of event logistics on a project basis, including (but not limited to) faculty and delegate management, accommodation bookings, travel bookings etc.
  • Support with travel and meeting industry technology (Cvent, StarCite, Travelport) on website builds, project reporting etc.
  • Venue research and budget preparation
Essential Requirements:
  • Demonstrable experience in a administrative position
  • Strong IT skills including experience within Microsoft Word, Excel and PowerPoint
  • Clear communicator & drafting concise guidelines, policies and project materials
  • Excellent attention to detail skills
Advantageous Skills:
  • Experience with meeting or events and travel industry technology
  • Experience within the Business Travel sector
  • Experience with process, policy and SOP (Standard Operating Procedures) administration
  • Knowledge & experience in Compliance management & pharmaceutical regulations; knowledge of GDPR laws, basic knowledge of EFPIA & Sunshine Act
