Job Description

Programme Administrator - 8 Month FTCRole PurposeReporting into the Executive Director for Solutions Delivery, the Programme Administrator is responsible for supporting on a portfolio of complex, fast-paced client projects from inception to completion on-time and on-budget.The purpose is to provide administrative support to the Project Management Team for the duration of the contract.Key Responsibilities

  • Providing administrative support to individuals / teams on Project Sapphire relating to overall Strategy Programme & Individual Location Programmes.
  • Co-ordinating key dates (for specific deal/ project / tasks) with Instant / Monaghans (PM) / Other stakeholders.
  • Ensuring latest Project Programmes (Strategic / Site specific) are distributed / received / understood by all parties.
  • Updating information on Project Portal.
  • Managing status on new projects / on hold projects / live projects with property / delivery team & PM’s including updating Project Portal.
  • Liaising with external PM’s on key deliverables /dates at all stages of projects.
  • Inputting & uploading information the Project Portal including monitoring key delivery dates.
  • Liaison with consultants / contractors regarding key project dates to upload to Project Web Portal.
  • Setting up new projects on sharepoint allowing IWMS budgets to be set and P.O’s raised
  • Experience
  • Previous experience of Programme Administration / PMO or junior project management/support roles
  • Excellent project planning skills and experience of using project management and planning tools such as MS-Project
  • Ability to integrate well into a team and build relationships well with senior stakeholders
  • Experienced in working in an both waterfall and agile environments
  • Excellent and effective English communication skills, both verbal and written (including excellent presentation skills)
  • Good knowledge of the MS Office Suite, in particular strong knowledge of Excel and PowerPoint
  • Ability to work independently and as part of a team
  • Proven organizational skills.
  • Ability to complete multiple tasks as assigned
  • Real Estate industry experience an advantage (particularly Capital and FM delivery projects
