Job Description

Owen Reed is looking to recruit a motivated Practice Executive - Competition, Regulation, and Trade to join a top law firm in London.This is a permanent position that demands precision, adaptability to changing priorities, and impeccable time management skills within the fast-paced domain of Competition, Regulation, and Trade. As a Practice Executive, your primary focus will be to delivertop-tier support to partners and lawyers, ensuring seamless management of tasks, deadlines, and multifaceted responsibilities.Key Responsibilities:

  1. Document Coordination: Produce accurate, compliant documents, reports, and presentations in alignment with our standards. Utilise auxiliary services as needed (e.g., Printroom, Document Production).
  2. Matter Lifecycle Management: Establish efficient work practices with partners and lawyers to oversee the entire lifecycle of matters - from file initiation to closure. This encompasses conflict management, information barriers, content management (both electronicand hard copy), and legal project management.
  3. Diary and Travel Management: Proactively manage and understand the schedules of partners and lawyers, prioritising commitments, organizing appointments, conferences, and meetings via various platforms. Efficiently coordinate detailed travel arrangements,considering all requirements for global travel and visitor management.
  4. Communication Coordination: Manage all incoming and outgoing communications for partners and lawyers, ensuring timely responses, correspondence drafting, and efficient handling of queries. Implement effective telephone call management and maintain a highstandard of service.
  5. Billing Process Coordination: Oversee the billing process, liaising with Revenue, editing bills, managing write-offs and discounts, ensuring compliance with firm policies. Work towards meeting billing targets and assist in alternative pricing arrangements.
  6. Business Development Support: Collaborate with partners and lawyers on business development activities, aiding in pitch creation, CV and credentials updates, and maintaining client databases.
  7. Client Relationship Management: Assist in building and maintaining strong client relationships, demonstrating professionalism, diligence, and commitment to providing exceptional client experiences. Maintain accurate client contact information and recordclient-related activities.

  • Organisational Skills: Display excellent organizational skills, effectively delegating administrative tasks and managing competing priorities.
  • Satisfaction and Quality: Ensure partners and lawyers are satisfied with the support provided, meeting their expectations consistently.
  • Accuracy and Timeliness: Deliver accurate and compliant documents within agreed timeframes.
  • Team Collaboration: Be an effective, helpful, and supportive team member, fostering positive outcomes among Business Services groups.
  • Compliance and Accountability: Adhere to firm and practice group policies while maintaining accurate client contact and activity information.
Qualifications, Skills & Experience:
  • Typing speed of minimum 55wpm with 98% accuracy.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and basic skill level with Visio.
  • Excellent written and verbal communication skills, with a knack for building strong relationships internally and externally.
  • Proven high-level organisational and time management skills, attention to detail, and client-focused approach.
  • Strong judgment, problem-solving ability, and a minimum of four years’ experience as a Secretary/PA in a professional services environment, preferably within the legal field.
