Job Description

An outstanding is the largest private-sector pension scheme in the UK and one of the largest pension funds in Europe.As a Personal and Business Support Assistant you will be primarily assigned to one or two Executives and their associated teams. Your role will be made up of providing support to the Execs and their teams but also working collaboratively as part of a team to deliver additional business support. The latter will be managed centrally within a pool from which tasks will be allocated according to capacity.Personal Assistant ResponsibilitiesProvide effective and proactive diary management for Executives and their teamsProvide effective and proactive email management for ExecutivesManage travel bookings and arrangements for ExecutivesCoordinate and set up meetings including attendees, rooms & refreshmentsAct as gatekeeper for Executives - ensuring their diary is used most effectively and that telephone calls are taken, messages relayed and delegated as necessarySupport Senior principals with complex diary management and travel as requiredProvide general administrative and support services such as processing expenses, ordering stationery, recording absences for teamsProvide specific administrative functions as directed by Execs, for e.g. maintaining a record of meetings with clients for the Investment teamRegister for seminars/courses on behalf of ExecutivesElectronically file documentationProactively book 121 meetings to ensure that Executives meet with their direct leads on a regular basisAssist Executives with basic budget supportCo-ordinate inductions for new starters (to include IT requirements/logistics) for relevant teamsProduce and update Excel spreadsheets related to budgets or other financial dataDraft high-quality PowerPoint presentations from a verbal or written outlineAssist Executives with the keeping their statements of responsibilities and up to date and regularly reviewed as well as supporting them with maintaining their continuous professional development as required by the SMCR.To excel in the above provision, you will proactively remove the administrative burden from Executives and Principals. To do this, you will be required to understand individual Executives ways of working thereby intuitively understand where priorities lie and resolve diary clashes/issues before the Executive realises theres a problemRequirementsEssential:

  • Advanced IT skills, including advanced skills in the use of Microsoft Word, Outlook, Excel and PowerPoint
  • Good typing skills (at least 50 wpm)
  • A good understanding of the business and the pensions industry, or a strong interest in building this knowledge
