Job Description

PA to Group HR Director – London (Remote) – Fixed Term Contract 6-12 monthsWe currently have a maternity cover opportunity for a PA and Assistant to join our group HR team. You will assist the Group HR Director and support the wider HR team with general administration and coordination with a particular focus on Learning & Development. You will need to be able to start work on the 22nd February.This role would ideally suit someone who is highly organised and proactive with experience of organising events and conducting themselves within a confidential and sensitive environment.Key Responsibilities

  • Assisting the HR Director in proactively managing their diary, helping them prepare for meetings including room bookings, catering, paperwork and minute taking where appropriate.
  • Booking travel for the HR Director and senior HR team and process travel expenses
  • Coordinate the Executive Committee HR report monthly, proof-read documents
  • Answer queries and deal with stakeholders at all levels (internal and external). This includes handling confidential information
  • Book meetings and events including team meetings, offsites, learning and development, diversity and inclusion and new joiner events and liaising with IT for set-ups and managing events on the day
  • Assist with the production of documents, including reports, agendas, minutes and PowerPoint presentations
  • Assist the L&D team in coordinating our core curriculum. Registering and co-ordinating employees to attend programmes, arranging appropriate resources and collecting feedback and liaising with external suppliers regarding dates of training sessions and materials. In addition, book co-ordinate the appropriate training room bookings, arrange trainer set up arrange catering
  • Helping to prepare any communications or documentation before, during or after any learning programme including a feedback survey
  • Help to manage the learning inbox including answering queries and responding to requests

  • Person Specification
  • 5 years experience of providing PA/EA support at a senior level
  • Exceptional organisation and diary management skills; you must be able to juggle a fast-moving Senior Executive diary and co-ordinate various calendars and inboxes
  • Capacity to handle tight deadlines and last-minute changes
  • Must have ability to anticipate needs and offer solutions to problems
  • Excellent attention to detail and accuracy including manipulating large quantities of data
  • Proactive in approach
  • Excellent IT skills including the full MS suite; Teams; Office 365; Sharepoint; Power BI and Condecco
  • Good time management skills
  • Must be comfortable interacting with all levels of the organisation
  • Be a team player with a friendly, positive and professional approach
