Job Description

We are passionate about providing unique, enriched working environments that facilitate collaboration and community.Netil House, Hackney Downs Studios and Old Paradise Yard are our most well-known ventures, where creative businesses come to work, collaborate and grow.Were looking for a highly organised PA to our Head of Operations.This is a varied, exciting role and an opportunity to play a central role in the development of an innovative, fast growing company.Reporting to and working closely with the Head of Operations, you will:

  • Manage email and calendar on behalf of the Head of Operations
  • Draft meeting agendas, take minutes and note action points
  • Ensure company meetings are efficient and that key points are communicated as necessary by overseeing agendas and minutes and ensuring minutes are shared promptly with relevant staff
  • Implement and manage best practice e-filing systems, carrying out regular spot checks and team training to ensure these are impeccably maintained
  • Oversee the planning of company events and communications
  • With support from our HR advisor, oversee all company HR including onboarding, training, appraisals and any disciplinary issues
  • Lead on recruitment, ensuring we attract and retain the best possible talent.
  • Assist the Head of Operations with design decisions, curating mood boards, material boards, supplier lists and assisting with sourcing fixtures, fittings and furniture for build and refurbishment projects
  • Conduct building walks and report on building upkeep and compliance with health & safety regulations
  • Ensure the company is compliant with GDPR
  • Oversee the use of project management software and CRM systems to ensure accurate data entry, best use of the systems for efficiency and tracking and reporting on KPI’s
  • Manage personal administration and run errands for the Head of Operations
  • Assist with advertising available properties and arranging viewings
  • Research and keep an up-to-date list of reliable contractors in key areas
  • Respond to maintenance queries and arrange the necessary repairs

  • Self-motivated, capable of prioritising without frequent direction
  • Experience in a PA role to a senior manager or executive
  • Excellent computer literacy and presentation skills
  • Strong knowledge of e-filing systems
  • Ability to oversee systems and processes company wide
  • Experience with CRM systems and project management tools or software
  • HR training and experience
  • Interest in property, interiors or the creative industries desirable
