Job Description

To provide full PA support of the highest standard. Main duties include diary management, screening of calls, emails and post, arranging travel, processing expenses, meeting preparations, planning company events, managing department absences and managing the creative office and stock. The role requires a high level of organisation, flexibility, and initiative, all conducted in an efficient, effective, competent, professional and timely manner.Client DetailsMy client is a global luxury cosmetic company who are industry leaders within the retail field.Description

  • Provide comprehensive administrative support.
  • To screen and manage all telephone calls and correspondences in a timely manner and distribute calls/correspondences accordingly to the relevant director/team.
  • Pro-actively manage and maintain emails, diary and outlook contacts on a daily basis using Microsoft Outlook.
  • To produce letters, emails, presentations as and when requested and in the normal course of your duties, ensuring they are both professional in their presentation and grammar.
  • To process the monthly company and personal expenses.
  • To systematically book UK and International travel.
  • To be the first point of contact for VIP clients and guests and ensure that they are politely greeted on their arrival and the necessary arrangements are made to make them welcome. This will include arranging refreshments, lunch and providing a tour of the building.
  • To liaise with relevant department to ensure documents, collateral and product displays relevant to daily meetings are prepared in a consistent and coherent fashion in due time i.e. information packs, statistical information and necessary agreements.
  • Co-ordinate and arrange meetings to include duties such as preparing agendas, presentation, minute taking where required, refreshments and arranging travel/accommodation.
  • Ensure effective time management: - timely completion of administrative duties; regular communication with the teams and appropriate communication with relevant personnel at head office
  • Maintain a log of employee attendance to include holidays, sickness and other absences for the direct reports of the Directors, reporting all absences to the relevant Director and HR department.
  • To run personal errands for the General Manager as and when required.
  • To participate in and plan Company events, exhibitions, conventions etc.
  • Continuously look at ways to improve and develop existing administration procedures and protocols.
  • To maintain, file and archive paperwork efficiently.
  • Create Innovation Annual Events Calendar
  • Research global NPD, Gifting and Amenities exhibitions and co-ordinate visits, as well as personally attending some.
  • Work with the CMO and VM to create the Innovation Centre of Excellence - Think Tank Area in build, presentation, look and feel.
  • Attend NPD and Brand meetings and assist General Manager on activations and priorities to include high profile brand partnerships and charity
  • Research specific NPD categories for General Manager and opportunities with Product Development Director

  • Strong PA skills and experience within a FMCG environment - essential
  • Excellent administration and organisational skills with strong attention to detail
  • Enjoys working in a high-pressure creative environment
  • Computer literate: advance standards in Microsoft Word/Excel/Outlook/PowerPoint
