Job Description

Personal Assistant to CCO, Director of People and Head of Portfolio Management - SW London - £38,000 to £43,000 Dependant on Experience + BonusMy client, a successful serviced office provider on the FTSE 250 listed Real Estate Investment Trust, managing circa four million square feet of business space across 60 properties in the UK, are currently seeking a highly experience PA with a proven trackrecording of supporting more than one senior director.You will join their stunning office in SW London sitting in a team of 8 other administrative staff, where you will be supporting the CCO, Director of People and Head of Portfolio Management. You will need to be highly organised and able to multi-task, alongsidehaving an emphasis on delivering exceptional customer service which is at the heart of their culture and values.Duties and Responsibilities:

  • Proactively manage multiple diaries strategically to ensure there are no conflicts
  • Arrange and coordinate meetings and room management
  • Manage and coordinate any travel requirements
  • Extensive email management
  • Maintaining and updating contacts and company organisation charts
  • Tracking action points and to do lists to ensure directors are aware of urgent issues, ensuring tasks are completed on time
  • Working cross-functionally managing important profiles on projects supporting the business
  • Assisting stakeholders with various projects
  • Attend project meetings
  • Minute take, compile and distribute all meeting materials
  • Monthly tenancy schedules, yearly service charge reporting and other duties for the Asset Team
  • Overseeing and handling confidential information
  • Responsible for organising some Committee meetings
  • Assisting with the preparation of reports and presentations
  • Assist with administration of various projects to support directors and other stakeholders
  • Prepare and processing of expenses and POs in a timely fashion
  • Arranging lunches/dinners with internal and external contacts
  • Undertaking personal and confidential administrative tasks as and when necessary
  • Attend to telephone calls and deal with them accordingly
  • Provide admin support to include typing of documents/presentations/formatting of documents
  • Maintaining trackers for customer complaints and work in progress
  • Compiling any schedules using Microsoft Excel
  • Assist and support in any events as and when required
  • General office duties including printing, photocopying, filing
  • Assisting other Directors/Senior Managers/ PAs/Administrators/Reception as and when required
Key Skills and Experience Required:
  • A minimum of 5+ years proven PA/Team Assistant experience managing more than one senior director
  • Experience of managing multiple and challenging calendars
  • Happy to work alone and as part of a team
  • Excellent verbal and written communication skills
  • Excellent use of Word, Excel, PowerPoint, and Audio typing
  • Excellent organisation skills and attention to detail
  • Proactive and anticipative
  • Exceptional communication and customer service skills
  • Demonstrating initiative, enthusiasm and a can do attitude as well as adopting a flexible attitude to work
  • Analytical approach
  • Discretion and an understanding of confidentiality issues
Package:
  • £38,000 to £43,000 Dependant on experience + Bonus
  • 25 days annual leave increasing by one day for every completed year of service + Birthday Off
  • 10% pension contribution
