Job Description

As a personal assistant (PA) you will work closely with the Vice President Online, UK and Ireland to provide administrative support ultimately helping the Vice President to make the best use of their time by dealing with secretarial and administrative tasks.The role will require the development of an extensive knowledge of the organisation in which they work. You will need to know who key personnel are (both external and internal) and understand the organisations aims and objectives.Discretion and confidentiality are therefore essential attributes for a successful PA.This role will provide extensive administrative support to the Vice President and ensure the effective running of the Online, Customer Contact Centre and wider team.As a PA, you will often act as the managers first point of contact with people from both inside and outside the organisation. Tasks are likely to include:

  • Complex diary management Meeting organisation both internal and external
  • Travel management
  • Expenses
  • Inbox management
  • Set up and maintenance of supplier and retailer contact database
  • Collation of meeting prep, financials and Brand notes
  • Presentation support
  • Key point of contact for all suppliers
  • Corporate gifting admin support
  • General department administration
  • Manage POs and FOC
  • High-touch meeting and greeting visitors of all levels of seniority
  • Minute taking in key meetings such as Supplier meetings, team meetings, and, where necessary, the Online Trading meetings
  • Support the Online team by effectively dealing with all administration: examples include
  • Coordinate and execute quarterly Online and CCC team meeting
  • Collating PowerPoint presentations for meetings
  • Organising team lunches, meetings, dinners and celebratory events where necessary
  • Collaboratively working together with other BM’s/GM’s/PAs for meetings
  • Maintain a sustained level of all office stationary and branded printed materials
  • Maintain the VP office space so that its tidy and ready/operational
  • Welcoming, setting up systems and arranging training and inductions for new starters
  • Coordinating and supporting key events/projects such as Peak Trading
  • QualificationsIn addition to relevant experience and secretarial and administrative knowledge, you will need to show evidence of the following:
  • Exceptional written and oral communication skills;
  • Advanced Power Point skills and all Microsoft applications
  • The ability to work under pressure and to tight deadlines
  • Flexible and willing to pick up additional responsibilities
  • Good organisational and time management skills with the ability to prioritise
  • The ability to research, digest, analyse and present material clearly and concisely
